About Your Instant Replay
Your Instant Replay is a Leading UK based sports video production and performance analysis company, supporting clubs from grassroots to elite level. Services include live and non-live high definition coverage, production, filming, highlights and content packages plus bespoke video coding for performance analysis across multiple sports and events.
The Role (short summary)
We’re looking for a highly organised Operations Manager to run the day-to-day coordination of jobs, crews, live event setup, and customer delivery. You’ll be the person who makes sure every job is properly planned, every freelancer is clearly briefed, and every deliverable goes out on time.
This role is ideal for someone who loves organising moving parts, communicates clearly under pressure, and is comfortable working unsocial hours when fixtures and live events require it. A production background is helpful but not essential — training is available.
Key Responsibilities
- Own the operational scheduling and coordination of all live and non-live jobs across multiple sports
- Brief and manage our pool of camera operators, editors, and producers so everyone knows:
- What they are covering
- Where they need to be
- When they need to be there
- What kit and assets they need
- Build and issue clear call sheets (locations, timings, access details, contacts, and contingency notes)
- Confirm equipment requirements and logistics (collection/returns, batteries/media, backups where needed)
- Maintain accurate tracking in our internal systems (jobs, crews, availability, rates, deliverables, and status)
- Act as the main point of contact for clients after matches/events, keeping them updated on delivery timelines and next steps
- Track post-match deliverables end-to-end (ingest, edit, approvals where relevant, upload, and final delivery)
- Coordinate live event workflows, including:
- Setting up stream destinations
- Preparing stream keys, URLs, and routing plans
- Routing RTMP/SRT feeds to the correct destinations
- Checking basic run-of-show requirements and handovers
- Prepare and organise pre-made graphics/assets for live events (where to find them, correct versions, and correct destinations)
- Support continuous improvement: flag recurring issues, tighten processes, and help build simple checklists that reduce mistakes
- Work evenings and weekends when fixtures require it

What Success looks like (first 90 days)
- Learn the full service offering, internal tools, and how jobs flow from booking to delivery
- Take ownership of the schedule and run weekly planning smoothly (no surprises, no gaps)
- Improve clarity of operator briefs (fewer last-minute questions, fewer missed details)
- Deliver a reliable on-time delivery rate for post-match outputs, with clear client comms
- Put in place simple operational reporting (what’s booked, what’s at risk, what’s delivered)
Ideal Candidate

- Exceptional organisation and attention to detail (you spot issues before they become problems)
- Confident communicator who can brief operators clearly and deal professionally with customers
- Strong spreadsheet skills (Excel/Google Sheets) and comfort tracking multiple jobs at once
- Calm under pressure and able to prioritise/problem solve quickly when plans change
- Reliable and flexible with unsocial hours (weekday evenings and weekends)
- Comfortable working remote, office (Henfield), or hybrid
Nice to have
- Experience in production coordination, operations, scheduling, or live events
- Familiarity with live streaming basics (RTMP/SRT, stream keys, destinations)
- Experience working with freelance crews and managing availability/rates
- Basic understanding of media workflows (file ingest, naming conventions, uploads, delivery links)
