About the Company
A globally recognised Italian luxury furniture brand is looking for an experienced and highly organised Operations Manager to join its London showroom team. This is a central role within the business, responsible for keeping the operational engine of the showroom running smoothly and efficiently.
About the Role
You will own the day-to-day coordination of logistics, shipping documentation, order administration and office operations, working closely with the sales team, the brand's Italian headquarters and third-party logistics partners to ensure every project is tracked, documented and delivered to the standard our clients expect. This is a role for someone who thrives on structure, takes ownership instinctively and understands that in a luxury environment, the quality of the back-office operation is as important as what happens on the showroom floor.
Responsibilities
Logistics & Shipping
- Coordinating inbound and outbound shipments, liaising with freight forwarders, carriers and the Italian logistics team to ensure timely and accurate delivery
- Managing and maintaining all shipping documentation: bills of lading, packing lists, customs declarations, delivery notes and import records
- Tracking live shipments and proactively communicating updates to the sales team and clients
- Resolving logistics issues and discrepancies quickly and efficiently, escalating where necessary
- Overseeing the receipt and inspection of goods at the showroom and coordinating white-glove delivery partners for client installations

Operations & Administration
- Owning the operational workflows of the showroom office, ensuring processes are clear, consistently followed and continuously improved
- Serving as the gatekeeper for day-to-day operational activities, coordinating, authorising and prioritising tasks across the team to ensure nothing falls through the cracks
- Maintaining and updating the CRM system (ZOHO)
- Managing accurate and up-to-date records across operational systems including order management and filing
- Managing supplier and partner relationships, including service contracts, maintenance providers and office logistics
- Producing regular operational reports and KPI summaries for the General Manager
- Where applicable, coordinating and supervising the work of junior team members or support staff
Sales Support
- Supporting the sales team with order processing, quotation preparation and project documentation as needed
- Acting as the operational link between sales and logistics, ensuring the sales team has accurate lead time, stock and delivery information at all times
- Assisting in the coordination of client deliveries and installations, ensuring a seamless handover from order to completion

Qualifications
- Proven experience in an operations, logistics coordination or office management role, ideally within luxury interiors, furniture, retail or a design-led environment
- Strong working knowledge of shipping and import/export documentation and processes
- Exceptionally organised with a meticulous approach to record-keeping and process management
- Able to manage competing priorities calmly and effectively without compromising accuracy
- A natural problem-solver who takes ownership and follows through
- Confident communicating with international partners, suppliers and clients; clear and professional in both written and verbal communication
- Proficient in Microsoft Office and comfortable working across CRM and order management systems
- Experience supervising or coordinating a small team is advantageous
- Italian language skills are advantageous but not essential
- A genuine interest in design and the luxury interiors sector
