Operations Manager | Cardiff
We're hiring an Operations Manager at Workforce Wellbeing.

Workforce Wellbeing is a physician-led occupational health provider working with organisations across the UK and Ireland. We're growing, and we're looking for a practical, organised manager to lead our Operations Administration Team and coordinate the day-to-day work behind our services.
What you'll do
- Lead and support the Operations Administration Team, setting clear priorities and making sure every task has an owner.
- Monitor service performance, including appointment availability, response times and report turnaround, and act on issues early.
- Coordinate clinical rotas and capacity to match client demand, including when plans change at short notice.
- Act as a key operational contact for clients, seeing queries through to resolution.
- Make sure the administration and clinical teams understand each client's requirements.
- Review our processes and see agreed improvements through to implementation.
- Use Microsoft 365 and other technology to automate routine tasks and cut unnecessary manual work.
- Prepare performance updates for client reviews and internal meetings.

What you'll bring
- Experience managing a team, ideally of around 3–10 people
- A background in operations, service delivery or administrative management
- A track record of improving processes and helping teams through change
- Confidence with Microsoft 365 and an appetite for learning new systems
- Strong organisation, communication and prioritisation skills
- A calm, practical approach to problem-solving, and the follow-through to see actions completed
- Experience handling confidential information within clear procedures, ideally in a regulated environment

The role
📍 Cardiff, with occasional home working
🕘 37.5 hours a week
💷 £45,000–£50,000, depending on experience
👤 Reports to our Chief Operating Officer, Lee Davies
🩺 Private health insurance, life assurance and an Employee Assistance Programme after a six-month probation period
