Role

This is a pivotal role within our small team: managing the Trust’s operations, supporting the fulfilment of initial grant outcomes and underpinning future-focused activity. Many of the processes have already been established, but as an ambitious start-up these are under regular review and development. There is an opportunity to shape efficiencies and develop the systems and channels through which the Trust engages with primary beneficiaries, whilst ensuring statutory duties are met as a matter of ease.

Specific Responsibilities

  • Manage the organisation’s operations, and operations contractors, including but not limited to IT infrastructure, GDPR Compliance, Sharepoint, utilities & services, health and safety consultants, fire safety, PAT testing, insurance, and office supplies.
  • Maintain access to communications channels and finance systems. Act as the organisations’ Data Controller.
  • Support the Company Secretary (Executive Director) to ensure compliance with all statutory and regulatory requirements; keep up-to-date with relevant legal and policy changes relating to charity and company law, the charity governance code and support with filings and annual compliance; hold the administrative relationship with the Charity Commission and Companies House.
  • Manage a biannual review of policies by Trustees, reviewing & updating as required.
  • Act as lead contact for MCLT’s accountants, ensuring relevant and timely financial management information for the staff team, Trustees and funders.
  • Monitor cash flow, administer invoices, check payroll and lead operational financial planning.
  • Ensure an excellent service to building and space occupiers, including ad-hoc bookings, ensuring legal obligations are met both by the Trust & occupiers and compliance with all the relevant risk assessments, insurances, clauses etc. Maintain site logs and incident reporting record, and appropriate keyholder site cover.
  • Manage freelance staff as required, including but not limited to communications and governance support.
  • Support the team with: occasional administrative duties and maintenance of stakeholder relationships; launching commissions, tenders, recruitment and other call outs; managing building maintenance contractors.
  • Maintain up-to-date organisational data systems for space-holder EOIs, fundraising relationships, and data on the creative sector, property and social impact.
  • Ensure sustainable practices of management and operation.
