About the Role

Operations Office Administrator

Competitive Salary | Full Time | On-Site | Lytham

Are you an organised and detail-oriented administrator looking to join a fast-paced Operations team? Tangerine Group is seeking an Operations Office Administrator to provide essential administrative support to the Planning function, helping ensure the smooth flow of materials, documentation, and supplier communications across the business.

Reporting to the Operations Director, you'll play a key role in supporting purchasing, inventory management, quality control coordination, and day-to-day operational administration. Working closely with Production, Purchasing, Warehouse, Quality Control, and Accounts teams, you'll contribute to maintaining efficient supply chain and operational processes.

This is an excellent opportunity for someone with strong administrative and IT skills who enjoys working in a collaborative environment and takes pride in delivering accurate, timely work.

What You'll Be Doing

As an Operations Office Administrator, you'll support a variety of operational and planning activities, including:

  • Purchase Order Administration
    • Processing purchase orders accurately and efficiently
    • Ensuring appropriate approval and sign-off procedures are followed
    • Confirming purchase orders with suppliers and maintaining accurate records

  • Supplier & Inventory Coordination

    • Tracking supplier orders and monitoring delivery status
    • Chasing suppliers for Certificates of Analysis (CoAs)
    • Supporting the timely availability of materials for production
  • Quality & Documentation Support

    • Liaising with Quality Control and external testing laboratories to prioritise raw material testing
    • Distributing relevant purchase order documentation to Quality Control, Warehouse, and Accounts teams
    • Maintaining accurate filing systems and ensuring documentation is readily available
  • Data & Systems Administration

    • Updating Daily Transfer Sheets (DTS) and Goods Received Sheets (GRS)
    • Maintaining operational records and administrative databases
    • Supporting planning activities through timely and accurate data entry
  • General Administrative Support

    • Providing administrative support to the Planning Team
    • Attending meetings and training sessions when required
    • Supporting additional operational administration tasks as directed by the Head of Planning

What We're Looking For

We're looking for a proactive and organised individual who enjoys supporting operational teams and managing administrative processes.

You'll ideally have:

  • Previous experience in an administrative, operations, purchasing, or planning support role
  • Strong IT skills, particularly in Microsoft Excel
  • Experience using Sage Line 200 or similar ERP systems
  • Excellent organisational and record-keeping skills
  • Strong written and verbal communication skills

You'll be someone who:

  • Has excellent attention to detail
  • Can manage multiple priorities and meet deadlines
  • Builds positive working relationships with colleagues and suppliers
  • Acts with honesty, integrity, and professionalism
  • Takes ownership of their work and contributes to continuous improvement
