Director’s Office Operations Officer
Manchester
Circa £30,000 per annum
Full-time, Permanent
Job Description:
An exciting opportunity has arisen for a highly organised and proactive Director’s Office Operations Officer to support the efficient running of a busy Director’s Office within a leading research-focused environment. Working closely with the Executive Assistant to the Director, you will play a key role in ensuring that administrative, operational and coordination activities are delivered to a consistently high standard.
This is a varied and visible position, providing the organisational infrastructure that keeps key activities on track, supports senior stakeholders and helps ensure priorities are delivered efficiently. The successful candidate will be confident managing multiple tasks, handling confidential information and maintaining excellent attention to detail in a fast-paced environment.
The role involves:
- Providing high-quality administrative and coordination support to the Director’s Office.
- Acting as a first point of contact for day-to-day administrative queries and requests.
- Coordinating meetings, including room bookings, technology, visitor arrangements, catering and documentation.
- Preparing, organising and distributing correspondence, presentations and meeting materials.
- Maintaining action logs and monitoring progress against agreed deadlines.
- Supporting inbox administration and ensuring requests are routed and followed up appropriately.
- Coordinating travel arrangements, expenses and documentation.
- Supporting events, visits, away days and other organisational activities.
- Maintaining accurate records, systems, trackers and filing processes.
- Identifying opportunities to improve administrative processes and office efficiency.

You’ll need:
- Degree-level education or equivalent relevant experience.
- Experience organising and prioritising a varied workload in a fast-paced environment.
- Experience producing accurate written documentation and records to deadlines.
- Strong organisational and multitasking skills with excellent attention to detail.
- Experience handling confidential and sensitive information appropriately.
- Strong communication skills with the ability to build effective relationships across all levels.
- Proficiency in Microsoft 365, including Outlook, Word, Excel, Teams and SharePoint.
- A proactive and solution-focused approach to problem solving.
- The ability to work accurately under pressure and meet tight deadlines.
