Opticore IT Client Operations Partner

Opticore IT is a rapidly expanding specialist IT Service Consultancy offering a wide variety of opportunities to work within challenging and exciting environments across our client base which spans multiple verticals including Finance, Media, Hospitality, and Telecommunications.

We’re on the hunt for an enthusiastic Client Operations Partner to join our dynamic Operations Team. If you’re someone who thrives on organisation and collaboration, this role is for you!

This is a hybrid role based in the heart of London, and you’ll be happy working from our HQ in Liverpool Street three days a week.

💻 What you’ll be doing:

Client Operations

  • Project Creation: Spearhead the creation and tracking of projects within our ERP, ensuring everything runs like clockwork
  • Month-End Processing: Dive into month-end processes like creating invoices and tackling client queries like a champ
  • Budget Tracking: Oversee project budgets, including chargeable expenses and order utilisation - your eye for detail ensures the data in our ERP is always spot on
  • Reporting & Insights: Collaborate with the Sales Team to manage client renewals and utilisation trackers, keeping everything on point. Deliver insightful internal reports and analytics to help drive smart decision-making. Keeping a sharp eye on contract end dates to ensure nothing slips through the cracks
  • Client & Supplier Onboarding: Be the welcoming and efficient link between Sales and Operations that ensures smooth onboarding of both clients and suppliers
  • Purchase Tracking: Manage purchase orders between suppliers and clients, ensuring accuracy and approval processes for seamless reporting to the finance team. Alongside handling internal or external escalations with a cool, professional approach
  • Cross-Functional Collaboration: Partner with teams across HQ; finance, resourcing, delivery, and sales - to deliver seamless support
  • Inbox Management: Handle team mailboxes with finesse, responding to and escalating requests as needed
  • Operational Hero: Have interest and awareness in the rest of the team’s day-to-day tasks in order to ensure smooth running of the team, providing cover and support as required

🚀 What you’ll bring:

  • Proven Expertise: A recent graduate with academic excellence alongside practical, real-world experience (internships, work placements, or extracurricular leadership) where you’ve demonstrated your ability to excel and deliver results under pressure or a solid track record in either a Client Operations or Sales Support role.
  • Academic Ability: A degree in a relevant subject (business, finance, or another analytical discipline) showcasing your determination to succeed and achieve
  • Tech Savvy: Hands-on experience of Microsoft Office with advanced proficiency in Excel and Word. Comfortable researching and troubleshooting challenges independently, with a focus on driving automation and efficiency, including using AI. Practical experience with NetSuite or HubSpot, or a similar ERP/CRM platform, would be advantageous
  • Organisational Superstar: Exceptional multitasking and prioritisation skills to thrive in a fast-paced environment, ensuring consistency, accuracy, and meticulous attention to detail
  • Problem-Solving Pro: Outstanding time management and a knack for thinking on your feet to solve problems quickly, logically, and efficiently
  • Proactive Self-Starter: The ability to work independently and collaboratively, taking initiative and driving projects to completion
  • Top-Notch Communicator: Strong verbal and written communication skills, combined with a flair for building relationships and collaborating with internal teams and clients alike
