The Operational Performance Support will provide administrative support to an Operations Performance Leader (OPL) within the Delivery Operation. You'll support all administrative requirements for the OPL – specifically scheduling and planning performance reviews and COM coaching sessions. You'll produce reports to support the coaching process and manage all tasks associated with managerial absence, OT & TOIL and the scheduling of managerial annual leave and day off cover. Also, you'll provide effective alignment of managerial resource to units and provide administrative support to the OPL and their team.
About The Role
You will have the responsibility of managing our HR system (PSP) Inputs including Absences, Substitution Payments, TOIL authorisation and the submission of Loaned to Admin File for the OPL area, you will also have the diary control of the Operations Performance Leader (OPL) with particular focus on ensuring that coaching reviews and performance reviews with all Customer Operations Managers are scheduled for each period.
You will assist the OPL with preparations for coaching & performance reviews including slide packs/performance information, room bookings, invites and “on the day” management if required. You will also be responsible for the authorisation of travel requests/T&S, other administrative tasks such as note taking for Conduct/Grievance/Attendance cases, for Performance Reviews and to support managerial sick absence management is also required.
Completion of the nationally designed Managerial Resourcing Tool (MRT) for managerial resourcing including:
- Completion of initial manpower plan at least 4 weeks in advance to understand any future resourcing issues
- Liaise with the OPL to sign off the manpower plan
- Complying to the rules of managerial cover resourcing and raising all issues of non-compliance to the OPL to address.
- Sending out the following weeks manpower plan by the end Wednesday of the week before (with the plan then locked down with no further changes apart from unforeseen sick abs/special leave.
- Use only official COSMs / Trainee managers and named and trained unit resource in the plan
You will oversee managerial annual leave allocation in line with the annual leave groups with only one person off per group at any time (bar emergency exceptions) and administer the process for leave booking each year in accordance with the guidelines, you will also be responsible for coordinating cost effective purchasing/equipment orders for OPL.

Attendance Pattern - Monday to Friday, 7am - 3pm with a degree of Flexibility required
About You
You must have good analytical and problem solving skills and have good working knowledge of Microsoft systems particularly Excel and Powerpoint. Show confidentiality/integrity and discretion is integral when dealing with personal information and company performance information and communications.
You must be flexible willing to travel within the OPL area as required to support, as well has having exceptional organisational and Time Management skills – Able to organise and manage OPL diaries to ensure commitments can be achieved. Manage personal workload to timescales required.
You will need to demonstrate the following on your CV

- Know the business - Uses own understanding of basic business operations and Royal Mail Group systems, processes, departments, and functions to support the OPL in achieving business objectives
- Financial and physical asset management - Managing physical assets and assigned budget, estimating and justifying costs, controlling expenditure, and evaluating outcomes.
- Health, safety & wellbeing - Leading by example to actively protect the safety, health and wellbeing of themselves and others. Ensuring compliance with safety and health legislation and Royal Mail Group’s safety and health standards.
- People management essentials - Follows Royal Mail Group’s processes; have knowledge of the policies; assist and support managers from administrative perspective.
