A growing communications consultancy is looking for an experienced Operations Manager to take ownership of the systems, processes, people operations and day-to-day infrastructure that keep the business running smoothly.
This is a hands-on role with significant scope to make an impact. Working closely with the senior leadership team, you’ll ensure the business has the right processes, systems and resources in place to support its continued growth.
You’ll be responsible for improving how the business operates behind the scenes, while helping create an organised, efficient and positive working environment for the team.
Immediate start
3 month contract (possible to extend/ go perm)
Circa £50k -£60k (can be flexible depending on experience)
Hybrid working- 3 days in the London office
The role:
People Operations
- Own the recruitment process from initial approval through to offer and onboarding.
- Work with hiring managers, recruitment agencies and candidates throughout the process.
- Prepare offer letters, employment contracts and freelancer/contractor agreements.
- Manage right-to-work checks and employment administration.
- Deliver a consistent and professional onboarding and offboarding experience.
- Maintain accurate employee records.
- Support probation reviews and appraisal processes.
- Keep HR policies and the staff handbook up to date, working with external HR or legal specialists

Resource Planning & Capacity
- Manage resource planning across clients and projects using the company’s project management/CRM system.
- Monitor utilisation, capacity and over-servicing.
- Identify resourcing pinch points and potential workload issues.
- Help inform decisions around recruitment and freelancer requirements based on pipeline and workload.
- Establish regular resource planning and reporting processes.
Business Operations
- Manage suppliers, contracts and purchasing, identifying opportunities to improve value.
- Support finance processes, including supplier invoices and timesheet compliance.
- Oversee office and hybrid-working arrangements.
- Support health and safety and business insurance requirements.
- Improve internal processes, documentation and ways of working.
- Support the senior leadership team with reporting, planning and wider company projects.
IT & Systems
- Manage the relationship with the external IT support provider, including service levels, costs and security.
- Ensure company information is well organised, accessible and appropriately secure.
- Maintain an accurate register of equipment, software and licences.
- Manage system access for new starters and leavers.
- Help ensure systems and information management practices meet GDPR, security and client confidentiality requirements

The person:
- Experience in an operations/ resource management or office management role.
- Practical experience of recruitment and onboarding
- Experience managing suppliers and external service providers.
- An interest in systems & process improvement
- Excellent communication skills and the ability to build relationships at all levels.
- The confidence to introduce new processes and bring colleagues with you through change.
- Experience with Microsoft 365, SharePoint and resource/project management systems
