Position: Operations Specialist
Support the day-to-day operation and coordination of the Global A&A department’s operations, procedures, projects and service delivery.
Key accountabilities
- Coordinate allocated day-to-day operational activities, ensuring actions are completed accurately and within agreed timelines.
- Maintain regular communication with the Global A&A team, other internal teams and external parties, providing timely updates and following up outstanding information or actions.
- Provide practical support to projects and workstreams, including arranging meetings, preparing agendas and materials, documenting decisions and actions, and coordinating follow-up activity.
- Maintain accurate operational and project records, trackers, shared files, process documentation and routine reporting, ensuring information is current and accessible.
- Provide administrative and logistical support for team activities, projects, meetings, workshops and events where required.
- Respond to routine operational and project enquiries, resolve straightforward matters within agreed procedures, and escalate more complex issues appropriately.
- Identify recurring issues, trends and opportunities to improve operational processes, documentation and ways of working, and contribute to the implementation of agreed improvements.

Qualifications and Experience
- Experience in an operations, project support, project coordination or similar role, ideally within a professional services or international environment.
- Experience gathering information from multiple contributors and producing accurate, concise updates, reports, dashboards or presentation materials.
- Good organisational and interpersonal skills, with the ability to coordinate activities, follow up actions and manage competing priorities and time-sensitive tasks.
- Ability to communicate clearly and effectively with a range of stakeholders and build effective working relationships without direct authority.
- Strong attention to detail and confidence using standard Microsoft Office tools; experience with project management, collaboration or reporting tools would be advantageous.
