About the Role
We are looking for an experienced, highly organised and proactive Operations & Supply Coordinator to join our established Operations team.
We are a leading golf apparel and equipment manufacturer and distributor, supplying major UK retailers, independent trade customers and international distributors, alongside our own B2C online retail business.
This is a varied, hands-on position responsible for managing customer orders through the complete order lifecycle – from initial order entry through to despatch and final invoicing.
Working closely with the Operations Manager, warehouse, customers and transport providers, you will play a key role in ensuring orders are processed accurately, efficiently and on time.
Key Responsibilities
- Process customer orders accurately from initial entry through to final invoice.
- Convert orders to pick notes and coordinate picking/despatch requirements with the warehouse.
- Liaise with the warehouse to establish pallet/carton quantities and ensure orders are prepared correctly.
- Organise transport, including pallet collections, standard 2–3 day services and customer-specific/timed deliveries.
- Book deliveries directly with customers and manage individual retailer booking requirements.
- Monitor orders and deliveries through to completion, resolving issues where necessary.
- Invoice completed orders accurately to customer accounts.
- Provide a high standard of customer service via telephone, email and face-to-face communication.
- Build strong working relationships with trade customers, major UK retailers and international accounts.
- Assist with shipments to Ireland, including commercial invoices, appropriate shipping rates/services and TSS paperwork.
- Support the processing and management of Amazon Vendor Central, where applicable, including orders, stock listings, Born to Run, stock management and forecasting.
- Process embroidery/personalised orders, ensuring customer instructions including logos, positioning, colours and sizing are communicated with exceptional accuracy.
- Provide day-to-day operational support to the Operations Manager and assist with additional priorities or projects when required.

The successful candidate must have:
- Previous experience managing customer orders through the full order-to-invoice process.
- Strong customer service experience, including dealing with customers confidently by telephone, email and face-to-face.
- Excellent administration and organisational skills.
- Exceptional attention to detail.
- The ability to manage multiple orders, tasks and deadlines simultaneously.
- Strong communication and problem-solving skills.
- A proactive approach and willingness to take ownership of tasks through to completion.
- Good general computer and systems skills
