About The Role
To support the Operations Management team in administrative and clerical duties as directed. You will be a key asset to the Operations Manager in assisting with the smooth delivery of front-line operations and recording data as required.
Key Accountabilities
- Assist the management team in administering externally contracted services to comply with internal standards and policies. The core activities are outlined below:
- Booking of competency-specific medicals for all safety-critical staff within the timescales required by Group Standards.
- Assisting with procurement requisitions.
- Booking of travel and accommodation.
- Management of fleet vehicles.
- Booking of training courses for operations staff.
- Any other administrative role as directed.
- On behalf of the management team maintain, coordinate, and process audit documentation as necessary to comply with internal standards and policies.
- Production of visualisation data for the OM area.
- Collation of safety data such as wrong routes and delay minutes for OM area.
- Collation of safety hour data.
- Production and distribution of safety hour material.
- Maintain data as directed within OM Shared area.
- Maintain local databases of property and hazard defect reports and assist in seeing these to a prompt conclusion.
- Provide administration support for compliance activities as directed by the management team and attend meetings as invited in order to produce timely true and accurate records of proceedings.
- Taking of minutes in key meetings.
- Filing assessment data.
- Recording of assessment competence into competency management systems as required.
- Fatigue and risk ranking of roster.
- As required and in line with company policies assist with the ordering and distribution of supplies and equipment for operational personnel enabling staff to undertake their duties.
- Ordering of stores for operating locations as directed.
- Ordering of uniform for front-line operations staff.
- Ordering of PPE and equipment for trackside staff.
- Maintaining databases of equipment issued.
