Operations Support Coordinator

Location: Swinton
Salary: £28,000 - £32,000
Work Hours: 8am - 4.30pm with early finish on Friday
Work Type: Office based

About the Role

Our client, a dynamic and innovative engineering organisation, is seeking a proactive and detail-oriented Operations Support Coordinator to play a pivotal role in their operations.

As an Operations Support Coordinator, the individual will be responsible for a variety of crucial tasks, ensuring the smooth running of administrative processes across the organisation.

Key Responsibilities

Commercial Administration

  • Process incoming order confirmations promptly into job and invoicing records.
  • Monitor sales invoices and maintain the invoicing log, ensuring accuracy.
  • Administer client and supplier onboarding paperwork efficiently.
  • Maintain an up-to-date quotation log, tracking status and prompts for follow-ups.

Operations & Compliance Administration

  • Own and maintain the Training & Competency Matrix, ensuring all certifications are current.
  • Administer security clearance and vetting submissions for client projects.
  • Support recruitment and onboarding processes, managing logistics and documentation.

Management System & Audit Support

  • Control day-to-day document management and assist with internal audits.
  • Coordinate evidence for certification body audits, ensuring compliance readiness.

Bid & PQQ Support

  • Complete client PQQs and supplier appraisals efficiently from the controlled information library.
  • Maintain the standard PQQ answer library for quick turnaround times.

Office Operations

  • Conduct general office administration, including meeting arrangements and visitor management.
  • Support company events and exhibitions with logistics and paperwork.

Person Requirements

To excel in this role, candidates should possess:

  • Proven operations administration experience in a process-driven environment.
  • Strong proficiency in Excel and Microsoft 365; familiarity with Xero and DraughtHub is a plus.
  • A meticulous approach to record-keeping and documentation.
  • Confidence in communicating and chasing information from busy stakeholders.
  • Discretion with confidential information, demonstrating GDPR awareness.
