Position Overview:
As Order Fulfilment Coordinator you will be the primary contact and responsible for end-to-end execution of approved new orders, ensuring a timely delivery, liaising with wider teams, suppliers and Sales teams. To update the required systems accurately ensuring the information is readily available for all required areas of the business. Covering ordering parts, invoicing and logistics.
Job Description:
Major Job Functions
- Perform and execute all assigned confirmed orders through to customer invoicing and final delivery. Assume total end to end responsibility and accountability for processing equipment delivery and invoicing requirements in line with Customer Promise Date and work flow methods using FST meeting customer expectations, including communicating performance against key processing gateways internally and externally. Record, track and prioritise order related activities. 45%
- Coordinate, book, monitor and manage all activities required to process the confirmed order including 3rd Party Contractors (issuing correct purchase orders), Prep Workshop booking, customisation planning, delivery address, invoicing and outbound transport booking. 30%
- Ensure adherence to business rules including Bill 198 regarding authorisation of equipment release liaising with accounts receivable prior to any dispatched. To use continuous improvement and root cause corrective action methodology to drive performance and to further improve our O.T.I.F, stock turns and GP erosion performance. 10%
- Ensure deal profitability information is accurately reported through DBS including checking of current book value costs against expectations. 15%

Specific Skills

Knowledge
- Experience of the Finning UK Invoice and or Outbound Logistics processes, systems and tools
- Previous experience of order fulfilment processes, procedures, tools and best practice
- Experience of managing a high volume of complex data
- Knowledge of FST and DBS or experience of other AS400 based application software
Accountability
- Timely execution of confirmed New Equipment orders through to delivery to customer; including:
- To deliver capacity of circa 1000 machines per annum with a value of circa £100 million
- Planning and organizing contractors and allocation of machines
- Liaise directly with customers to provide updates
- Progress monitoring
- Ensure equipment release approval and funds obtained prior to delivery
- Attachment and customization ordering progress updates
- Query resolution
- Final customer delivery

Education and Experience
- Maths and English qualifications
- Excellent mathematical & verbal reasoning skills.
- Excellent Microsoft Office skills.
- Experience of Financial Management processes, procedures and controls.
- 1 to 2 years’ experience within a Supply Chain position
Working Environment
Primarily office desk environment and occasional entry into engineering and other office locations on site.
