Unox S.p.A., market leader in high-end oven production and certified as Great Place to Work for the eight consecutive year, is looking for an Order Management Specialist to join the Branch Operations team at Unox UK.
Main responsibilities
- Manage the end-to-end order process, ensuring the smooth and timely handling of orders from quotation and entry through to delivery, invoicing and returns.
- Accurately process and maintain customer orders in SAP, ensuring all order information, including pricing, customer details and delivery requirements, is complete, accurate and up to date.
- Monitor order progress and delivery schedules, proactively identifying, escalating and resolving issues.
- Coordinate stock and deliveries into the UK, working closely with Shipping, Warehouse and Head Office in Italy to ensure products are available, prepared and delivered according to customer requirements.
- Liaise with Head Office and internal departments, including Sales, Service, Shipping and Finance, to manage stock, production, order status, invoicing, credit, payments and other customer account-related matters.
- Support customers and dealers via telephone and e-mail, handling enquiries and providing accurate information on product availability, order status, stock delays and expected delivery dates.
- Manage returns in accordance with the RMA procedure, as well as non-standard orders, credits, free-of-charge orders and loan requests, ensuring company procedures are properly followed.
- Maintain accurate and up-to-date customer and order records, including databases, sales contracts, correspondence, documentation and archives, in accordance with company procedures and data management requirements.
- Produce reports and support continuous improvement, identifying opportunities to improve order management efficiency, accuracy, customer service and overall process performance.
- Support Order Management team performance and continuity, contributing to agreed KPIs and providing cover when required.

- Previous experience in a customer-facing, administrative or sales support role is desirable; experience in retail or hospitality is also considered an advantage
- Strong communication and customer service skills
- Good IT skills, including proficiency in Microsoft Office and the ability to learn new systems; SAP experience is considered an asset
- Strong attention to detail and accuracy, particularly in data entry and record management
- Ability to prioritise tasks, meet deadlines and work effectively as part of a team, with a proactive and reliable approach
