WHAT YOU WILL DO:
As an Order Management Associate, you sit at the center of how orders actually get delivered - from the moment a client’s order is confirmed to the moment it lands complete and correct. You are the connective tissue between our vendors, our warehouse, and our clients, and you keep every moving part on track. This is not a passive admin role. You will be expected to spot issues before they become problems, keep multiple orders moving at once, and bring energy and precision to everything you touch. You’ll work across a client base that includes some of the largest technology organizations in the world, and they expect a lot. So do we.
KEY RESPONSIBILITIES:
- Generate vendor purchase orders accurately and efficiently, turning client orders into POs that are complete, correct, and ready to action first time.
- Build POs the right way, every time - product specifications, quantities, and delivery timelines all present and accurate.
- Track inbound shipments from vendors, staying ahead of delivery timelines rather than chasing them after the fact.
- Work closely with project teams to flag and resolve potential delays before they reach the client.
- Generate picking tickets for warehouse staff, aligned to live project timelines.
- Create logistics tickets for outbound shipments to clients, keeping the delivery chain moving.
- Bring meticulous attention to detail to every stage of order processing - a small error caught early saves a big problem later, and you catch it first.
- Run thorough quality checks to guarantee the correct products ship to the correct client, every time.
- Prioritize a busy workload by urgency and importance, so the most time-sensitive orders never slip.
- Manage a high volume of orders simultaneously without letting accuracy or quality drop.
- Adapt quickly when order specifications, shipment schedules, or client requests change - and keep everything moving anyway.
- Troubleshoot issues as they come up and resolve them promptly to keep order flow smooth.
- Respond promptly to client inquiries with clear updates on order status.
- Stay on top of vendor pricing, discounts, and promotions, so you always know where the best deal is.
- Spot opportunities to negotiate better terms with vendors and bring cost savings back to the business.
- Negotiate favorable terms, discounts, or bulk purchase arrangements that improve margin.

Essential Criteria:
- A Degree in Business, Supply Chain, Logistics, or a related field; or 1–2 years of experience in an order management, procurement, or supply chain support role; or a combination of relevant work experience and further education such as a post-secondary qualification or professional certification.
- An understanding of the commercials involved in buying and reselling hardware - or a genuine willingness to learn fast.
- Comfortable picking up procurement or ERP software; previous hands-on experience is a plus, not a requirement.
- Strong numeracy skills and analytical ability.
- Basic to intermediate Microsoft Excel skills.
- Excellent time management - you can juggle a busy workload and know what to prioritize.
- Exceptional attention to detail - the kind that catches the small stuff before it becomes a big problem.
- Strong communicator, comfortable keeping clients and colleagues in the loop.
- A proactive problem solver who can think on their feet.
- A genuine team player - personable, easy to work with, and willing to pitch in wherever the team needs it.

DESIRABLE CRITERIA:
- Experience of Audio-Visual / Video Conferencing and networking environments.
- Exposure to Cisco CCW, Sage X3, or Jira - a plus, not a requirement.
- Able to drive progress positively and effectively, keeping stakeholders informed.
- Able to maintain a high standard of work under pressure, even when handling multiple issues at once.
