Key Responsibilities

The Order Management team sits within boxxe's Purchasing function and forms part of our wider Commercial team, which includes Purchasing, Supplier Management, Deal Registration, Logistics and Order Management.

As an Order Management Specialist, you will play a key role in ensuring our customers' orders are managed accurately and efficiently throughout the order lifecycle. Working closely with Sales, Purchasing, Logistics, Customer Services, Finance and our supplier partners, you will help deliver an excellent customer experience by maintaining accurate order information, proactively managing back orders and resolving issues that may impact delivery.

This role is ideal for someone with excellent administration skills, strong attention to detail, a passion for customer service and an interest in supply chain and procurement operations. You will enjoy working in a fast-paced environment where accuracy, communication and continuous improvement are highly valued.

What You’ll Be Doing

  • Data Input and Accuracy: Maintain accurate order information by updating supplier back-order reports, order acknowledgements and other key data sources within business systems.
  • Order Fulfilment: Process and manage assigned order types, including direct deliveries and software licensing orders.
  • Cross-Functional Collaboration: Work closely with Sales, Purchasing, Supplier Management, Logistics and Customer Services to resolve order-related queries, delays and issues.
  • Resourcing: Support the proactive management and resourcing of purchase orders to ensure timely order fulfilment.
  • Putting the Customer First: Deliver an excellent experience for both internal and external customers by providing accurate and timely updates.
  • Building Partnerships: Develop effective working relationships with suppliers to improve delivery performance and ETA accuracy.
  • Expedite Management: Monitor overdue orders, proactively expedite deliveries and escalate issues where necessary.
  • Risk Management: Identify and communicate potential risks or supply chain issues to relevant stakeholders.
  • Inbox Management: Ensure customer, supplier and internal queries are responded to promptly and professionally.
  • Continuous Improvement: Identify opportunities to improve processes, accuracy and efficiency within the Order Management function.
  • Supporting Complex Orders: Assist with the management and coordination of large or complex customer orders.

Requirements

  • Operational Experience: Previous experience in an operational role within a fast-paced business environment.
  • Order Management Knowledge: Understanding of order processing, supplier management, purchasing or supply chain operations.
  • Customer Focus: Proven commitment to delivering excellent customer service and managing customer expectations.
  • Relationships: Ability to build and maintain effective relationships with internal teams and external suppliers.
  • Process Improvement: Experience identifying improvements that enhance efficiency, accuracy or customer experience.
  • Systems Knowledge: Comfortable working with ERP systems such as NetSuite and Microsoft Office applications, particularly Excel.
  • Attention to Detail: Excellent organisational skills with a high degree of accuracy and attention to detail.
  • Communication Skills: Strong verbal and written communication skills.
  • Problem Solving: Ability to proactively resolve issues and manage competing priorities.
  • Team Player: Collaborative approach with a willingness to support colleagues and contribute to team success.
