Role Description

The Order Processing & Administration Support Coordinator is a full-time hybrid role based in Greater London, with flexibility to work from home for part of the week. This role is responsible for processing customer orders accurately, managing order documentation, and maintaining up-to-date records in internal systems. Daily activities include:

  • Coordinating with customers and internal teams to confirm order details
  • Updating delivery schedules
  • Handling general administrative tasks such as preparing reports and filing
  • Responding to customer queries regarding order status
  • Providing basic technical and product information in coordination with the technical team
  • Escalating complex issues when required

The coordinator will support continuous improvement of order workflows and contribute to a smooth, customer-focused order management process.

Qualifications

  • Strong Interpersonal Skills and Customer Service abilities to build positive relationships and support customer satisfaction.
  • Clear, professional Communication skills, both written and verbal, for interacting with customers, suppliers, and internal teams.
  • Experience with Case Management and structured follow-up to track orders, issues, and resolutions from initiation to completion.
  • Basic Technical Support capabilities to understand product specifications and assist with routine order-related technical queries.
  • Solid administrative skills, including data entry accuracy, document management, and use of office productivity tools (e.g., spreadsheets, CRM or ERP systems).
  • Strong organizational and time-management skills, with the ability to prioritize multiple orders and deadlines.
  • Problem-solving mindset and attention to detail, especially in reviewing order information and coordinating logistics.
  • Previous experience in order processing, administrative support, or operations in a B2B or technical environment is beneficial.
