What you’ll do:
An enthusiastic and detail-oriented Order Processing Assistant to join our team. This role is critical to ensuring smooth and efficient order management for our UK customers, working closely with our UK HQ and local teams. This role reports to the Exertherm Head of Operations.
Exertherm is an award-winning and trusted provider of Continuous Thermal Monitoring (CTM) technology for electrical infrastructure, successfully installed globally by major OEM’s. Headquartered in the UK, the Group has an operating presence in North America, LATAM, EMEA and APAC.
Exertherm Group was acquired by the Eaton Corporation in May 2024 and is now part of the latter’s Power components division. This role is specifically for the Exertherm group.
Key Responsibilities:
- Order Entry & Management:
- Accurately enter customer orders into the system (ERP/CRM) and ensure all details are correct.
- Track orders throughout the process to ensure timely fulfillment.
- Update customers on order statuses, including any delays or issues.
- Customer Service & Communication:
- Respond promptly to customer inquiries related to orders, shipping, and product availability.
- Provide exceptional service by resolving any order-related issues, such as discrepancies, delays, or returns.
- Collaborate with the sales, logistics, and warehouse teams to address customer needs.
- Documentation & Record-Keeping:
- Maintain accurate and up-to-date records of all transactions, orders, and customer information.
- Prepare and send order confirmation, invoices, and shipping documents to customers and internal stakeholders.
- Ensure compliance with company procedures, especially when dealing with cross-border orders between the US and UK.
- Shipping & Logistics:
- Work closely with third-party logistics providers to arrange deliveries, track shipments, and ensure timely dispatch.
- Monitor shipping costs and ensure orders are delivered within budget and deadlines.

Qualifications:
- 1-3 years of experience in an order processing, sales administration, or customer service role.
Skills:
- Experience working with international teams and understanding global shipping/logistics is a plus.
- Technical Skills:
- Proficiency in order management systems (ERP (e.g. SAGE), CRM, or similar tools).
- Comfortable with Microsoft Office Suite (Excel, Word, Outlook).
- Experience with shipping platforms and coordination with 3PL providers is a plus.
- Communication:
- Strong written and verbal communication skills.
- Ability to communicate effectively across teams, including international colleagues and customers.
- Organizational Skills:
- High attention to detail and accuracy in data entry and order management.
- Strong time-management skills and ability to handle multiple tasks simultaneously.
