Program Optimus

Transforming WHAT we do and HOW we do it.

We are embarking on a huge program of global business transformation enabled by the implementation of a new global technology solution. The delivery and embedding of this technology solution across our highly successful and highly de-centralized business will change the way we work forever, enabling greater data insight, simplification of processes and ways of working and creating greater collaboration across the business.

The OCM Coordinator will provide outstanding administrative and coordination support across the OCM team and in the coordination of training and communications into the Business Units. This busy and varied role will require excellent attention to detail, multi-tasking and prioritisation skills and will make a key contribution to the success of the team.

Key Responsibilities

  • Support OCM Lead in the broader change program
  • Support the creation and delivery of the Change network
  • Support the OCM Lead to create, maintain and track training delivery plans and schedules ensuring these are delivered on time
  • Support the OCM team in sending invites, organising meeting rooms, schedules attendees for the delivery of training
  • Manage feedback from training, ensuring continuous improvement and evolution
  • Support stakeholder analysis and maintain stakeholder engagement trackers
  • Oversee all comms, from scheduling what needs to be communicated to a defined timescale and ensuring adherence to that schedule
  • Find new innovative ways to communicate
  • Supports with reviewing the ‘tone’ of all comms and training ensuring this is fitting within Twinings Ovaltine culture
  • Any other administrative or coordination activities that support OCM delivery

Skills Knowledge and Expertise

  • Have the ability to build relationships with the OCM Team, with specific emphasis on supporting the OCM Lead and interfacing across the wider Optimus team, PA’s and EA’s across the global business and other support services teams
  • Previous experience of working on a global business project advantageous and previous experience of working in a busy, high profile coordination role managing multiple priorities and a variety of different stakeholders
  • Experience of coordinating activities across diverse and global teams
  • Excellent communication skills both verbal and written.
  • Excellent attention to detail
  • Excellent relationship building skills
  • A strong ‘completer – finisher’. Able to get things done and drive outcomes from others
  • Strong MS office skills across word, excel and PowerPoint
  • Ability to work under own initiative and take ownership of tasks
  • Ability and experience of working to tight deadlines without compromising quality
  • Demonstrable ability to flex style to suit the audience
