About This Role

OUTREACH ADMINISTRATION OFFICER (LUMINA REGISTRAR & PROGRAMME OFFICER)

Permanent contract, full time, 40 hours per week

Monday to Friday, with flexibility to start late and work until 19.00 when online lessons are taking place and on occasional Saturdays to support special learning programmes.

State School term time only, 39 weeks per year.

Lumina is a flagship programme run by Harrow School’s Shaftesbury Enterprise team which is the driving force behind Harrow’s commitment to charity and community engagement, empowering positive change through meaningful partnerships and collaboration.

Lumina is a transformative collaboration bringing together teachers from leading independent and state schools to deliver one-to-one online tutoring and mentoring for care-experienced young people. The role: The Lumina Registrar & Programme Officer provides comprehensive administrative support, recruitment coordination, and digital engagement to enable the effective delivery and growth of the programme.

Key Duties Include

  • Teacher Recruitment & Onboarding: Proactively engaging prospective volunteer teachers, running recruitment campaigns, guiding candidates through onboarding, and tracking safeguarding checks.
  • Student Pairing & Attendance: Managing tutor/pupil schedules, matching tutors with care-experienced young people alongside Local Authorities, maintaining delivery registers, and executing prompt follow-ups within 24 hours on missed sessions.
  • Digital Outreach & Social Media: Supporting Lumina’s social media presence by gathering impact stories, tutor spotlights, and student milestones in line with safeguarding guidelines.
  • Event Logistics: Coordinating room bookings, catering, and on-site arrangements for in-person enrichment events and revision courses.

You Will Bring

  • Accomplished written and verbal communication skills with an engaging, enthusiastic personality to build trust with teachers, local authorities, foster carers, and pupils.
  • A strong background in administrative coordination within a busy office, juggling competing priorities with a keen eye for detail and data accuracy.
  • Confidence or experience in volunteer recruitment, candidate onboarding, or generating creative social media content.
  • A genuine passion for improving the lives of care-experienced young people, combined with emotional maturity, discretion, and strict adherence to safeguarding principles.
