Role Purpose

As the PA to the partners/Operations Assistant you will be expected to provide high-quality administrative and diary management to the Partners whilst supporting the smooth day-to-day operation of the business. The role requires excellent organisational skills, professionalism, discretion and the ability to manage multiple priorities within a client-focused environment.

Key Responsibilities

Personal Assistant Duties

  • Manage the Partners diaries, appointments and meetings.
  • Screen and prioritise communication for the partners as required.
  • Arrange internal and external meetings, including preparation of agendas and meeting papers.
  • Coordinate travel and accommodation where required.
  • Prepare letters, reports, presentations and client communications.
  • Assist with confidential and sensitive matters in a professional manner.

Practice Administration

  • Support document management, scanning and electronic filing.
  • Co-ordinate office supplies, facilities and general administration.
  • Support with relevant industry compliance processes and maintain practice procedures.
  • Assist with organising and execution of Company events.
  • Assisting the Marketing Manager with our social media/digital marketing campaigns
  • Support the people operations function with administration where needed.

Systems & Technology

  • Use Microsoft Office (Word, Excel, Outlook and Teams) confidently.
  • Maintain records within practice management software.
  • Assist with electronic document/practice management systems.
  • Support the implementation of new administrative processes where appropriate.
  • Be a “champion” of our tech stack, helping users get the most out of it

Person Specification

Essential

  • Educated to degree level or equivalent.
  • Proactive approach to learning new skills and working on multiple projects at once.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication.
  • High level of accuracy and attention to detail.
  • Professional and confident telephone manner.
  • Ability to prioritise competing deadlines.
  • Excellent Microsoft Office skills.
  • Ability to handle confidential information with discretion.
  • Self-motivated with a proactive approach.

Desirable but not essential

  • Previous experience within an accountancy, legal or professional services environment.
  • Familiarity with practice management, CRM and AI workflow tools such as ChatGPT, Vinyl, Zoho
  • Experience using Xero, QuickBooks, Sage or similar business systems.
  • Understanding of AML and client onboarding processes.
