Location: Hybrid – 3 days a week at VHQ, Crawley

Hours: 37.5 per week, Monday to Friday

Contract Type: Permanent

Salary: Competitive

We’re looking for an organised, proactive and personable PA to provide high-quality administrative support to our Finance Leadership Team.

The role

Reporting to the SVP Finance & VP Finance Planning, you’ll support up to three Vice Presidents across the Finance Leadership Team, helping them manage their time effectively and ensuring the wider Finance directorate operates smoothly.

You’ll work closely with the Finance Executive Assistant and the wider PA community to provide consistent, efficient and professional support. From diary management and meeting coordination to travel arrangements, recruitment administration and team events, you’ll be trusted to keep things organised and moving forward.

You’ll also act as a central point of contact for a range of administrative, IT and compliance-related requirements, helping to standardise processes and create a positive, energetic atmosphere across Finance.

You’ll be responsible for:

  • Proactively managing diaries, resolving conflicts and ensuring sufficient time for preparation.
  • Coordinating meetings, rooms, venues, facilities, pre-reading and information packs.
  • Supporting travel arrangements, including flights, accommodation and visas.
  • Maintaining holiday, sickness and departmental compliance registers.
  • Providing support with expenses, invoices, purchase orders and stationery ordering.
  • Coordinating recruitment administration, new starter induction, IT access and equipment.
  • Acting as a central point of contact for IT-related requirements and issues.
  • Supporting the Finance Executive Assistant with directorate events and other activities.
  • Building strong relationships with colleagues, suppliers, visitors, contractors and other Virgin Group companies.

About you

You’ll have experience working as a PA or administrator supporting senior leaders, ideally at Director or VP level. You’ll be highly organised, confident managing competing priorities and comfortable working independently.

You’ll bring:

  • Excellent planning, organisation and prioritisation skills.
  • Strong communication and interpersonal skills, with the confidence to work with people at all levels.
  • Experience using Microsoft Office tools, including Outlook, Teams, Word, Excel, Visio and PowerPoint.
  • The ability to produce clear, well-structured documents and information packs.
  • A high level of discretion, confidentiality and integrity.
  • A proactive, collaborative approach and a willingness to find solutions.
