The Role

To provide PA support to the Managing Director of Content, ITN Productions and the Finance Director, ITN, ensuring effective administrative and organisational support across their areas of responsibility.

The role will also provide office and administrative support to ITN Productions and as required to the Finance Department and undertake ad hoc assistance for other senior stakeholders. when required. As a key member of the team, the postholder will help ensure the smooth day-to-day running of administrative and office activities within ITN Productions.

Key Responsibilities:

PA Support

  • Provide efficient diary management and PA support to the Managing Director of Content, ITN Productions and the Finance Director, ITN
  • Provide ad hoc administrative support to other senior stakeholders within ITN Productions, where required
  • Manage meeting arrangements, including scheduling appointments, booking rooms and setting up meetings
  • Prepare agendas, coordinate meeting materials and take and circulate meeting notes when required
  • Book local, national and international travel, accommodation and visas
  • Arrange taxis, couriers and other travel-related logistics
  • Submit expense claims and support expense approvals on behalf of Directors and their teams where appropriate
  • Raise purchase orders, process invoices and support other routine administrative tasks
  • Act as a point of contact for internal and external enquiries, responding or directing requests as appropriate

Administrative and Office Support

  • Organise staff meetings, team events and social activities
  • Manage internal communications, including the weekly team round-up and other departmental updates as required
  • Maintain accurate records of holidays, sickness absence and other leave, updating systems as required
  • Coordinate the onboarding of new starters, including arranging inductions, access requirements and introductions
  • Issue security passes and support office access arrangements
  • Help maintain a well-organised office environment, ensuring meeting rooms and communal spaces are presentable and functional
  • Order and manage office supplies and stationery
  • Liaise with Facilities and other support teams to resolve office-related issues
  • Distribute incoming post and coordinate outgoing deliveries where required
  • Manage subscriptions and departmental administration requirements
  • Support client hospitality arrangements and internal or external events as required

Collaboration and Additional Support

  • Build effective working relationships with teams across ITN, including Finance, People, Technology and Facilities
  • Provide administrative support for projects and business initiatives as required
  • Undertake any other reasonable administrative duties appropriate to the role

Key Requirements:

Experience & Skills

  • Proven experience supporting senior leader, ideally at Director or Executive level, within a fast-paced environment
  • Exceptional diary management, planning and organisational skills
  • Strong administrative capability with excellent attention to detail and accuracy
  • Ability to manage multiple competing priorities and adapt quickly to changing business needs
  • Demonstrable experience coordinating complex travel arrangements and executive schedules
  • Strong written and verbal communication skills
  • Excellent stakeholder management and relationship-building abilities
  • Highly proficient in Microsoft Office 365, including Outlook, Teams, Word, Excel and PowerPoint
  • Experience handling confidential and commercially sensitive information
