As Personal Assistant,

you'll provide proactive support to the Group Reward Director and Group Procurement Director, enabling them to focus on strategic priorities and business delivery.

  • Manage complex diaries
  • Coordinate meetings and travel
  • Prepare presentations and communications
  • Act as a key point of contact for senior stakeholders across the business

This role requires strong organisational skills, sound judgement, discretion, and the ability to manage multiple priorities in a fast-paced, global environment.

Working closely with senior leaders, including Board members and Executive Committee colleagues, you'll handle sensitive information with professionalism and build trusted relationships across the organisation.

What's the job?

  • Provide comprehensive executive support to the Group Reward Director and Group Procurement Director.
  • Proactively manage complex diaries, prioritising appointments and resolving scheduling conflicts.
  • Coordinate domestic and international travel, including itineraries, accommodation, and expenses.
  • Organise meetings, leadership forums, Board and governance activities, including preparing agendas, papers, and minutes where required, supporting engagement across business functions and key stakeholders.
  • Act as a trusted point of contact for senior stakeholders, building strong relationships, and ensuring professional, timely, and confidential management of communications.
  • Build and maintain effective relationships with Group Procurement and Reward teams, senior leaders, Executive Assistants, and external partners, exercising the highest levels of discretion and judgement when managing sensitive governance activities and communications.
  • Provide proactive coordination and administrative support to the Directors' leadership teams, including meeting management, action tracking, communications, and leadership team activities.
  • Support budget administration, purchase orders, invoices, and expense processing where required.
  • Assist with the coordination of team events, leadership offsites, and business-wide communications.
  • Maintain confidential records and handle commercially sensitive and personal information with absolute discretion.
  • Identify and implement opportunities to improve ways of working, simplify administrative processes, and increase effectiveness across supported functions.

What You'll Bring

  • Previous experience providing PA support to senior executives, ideally at Director or Executive level.
  • Experience supporting Board or Committee activities and engaging confidently with senior stakeholders, including Non-Executive Directors, is desirable.
  • Exceptional organisational and time management skills with the ability to manage competing priorities.
  • Strong communication and interpersonal skills with the confidence to build relationships at all levels of the organisation.
  • Excellent attention to detail and a proactive, solutions-focused approach.
  • High levels of professionalism, integrity, diplomacy, and discretion when handling confidential information.
  • Advanced technical skills, including Outlook, PowerPoint, Word, Excel, Concur, Coupa, and Teams.
  • Experience coordinating international travel and executive meetings.
  • Ability to work independently while collaborating effectively across multiple teams.
