The Personal Assistant is a member of the Global Procurement team, which is made up of a group of Global and Local Category Manager’s located in Twinings Tea and Ovaltine factories in Andover, China, Poland, India, and Thailand, who are also responsible for TwiningsOvo’s global spend on packaging, raw materials (excluding tea), indirects, freight and logistics. The Personal Assistant will also form part of TwiningsOvo’s SAP community of practice, which is responsible for driving the benefits and exploitation of Twinings SAP implementation.

Please note: This role can be based in either Poznan, Poland or Andover, UK.


Key Responsibilities

  • Extensively organising and maintaining diaries
  • Arranging meetings
  • Managing complex travel arrangements, visas and hotel accommodation for both team and any visitors
  • Organising team meetings, conferences and events, within and outside of the UK
  • Monitoring expenditure against budget
  • Reconciling expenses for the Procurement Director and Global Category Leaders (GCLs).
  • Maintaining data in ERP system (maintaining suppliers details in SAP system; and raising purchase orders and assisting in invoicing)
  • Administering the Procurement SharePoint site
  • Stationary monitoring and ordering
  • Administering the contract database
  • Acting as the Health and Safety representative and Fire Warden
  • Play an agreed role in implementing defined projects to support delivery of the Tea Supply Chain strategy

Skills, Knowledge and Expertise

  • An experienced personal assistant with strong organisational and analytical skills.
  • Excellent written and verbal communication skills
  • Experienced and competent user of all Microsoft platforms
  • Excellent organisation and planning skills, with the ability to manage a number of tasks at one time
  • Ability to be pro-active in anticipating organisational needs and making things happen.
  • Comfortable working with degree of ambiguity and using own initiative.
  • Commercial awareness a must, and experience of working in a Procurement environment would be desirable
