Company Description

Contract: Permanent - 37.5 hours per week

Location: Smethwick B66 1BY

Days of Work: Monday to Friday

Working Days: 09:00 - 5:30

Hybrid - Must be in the office 3 days per week (flexible on days)

Job Description

Purpose of Position

To provide Secretarial service to the Managing Director of Out of Home. This will include managing day to day communication/phone calls, producing memos, letters, documents and minutes of meetings as required.

Key Tasks/Areas of Responsibility

  • You must be an excellent performer who has a creative flair and the ability to produce excellent presentations.
  • The ability to manipulate numerical data for presentations and reports would be advantageous.
  • Be the key liaison between the Director/Managers/Customers and Stakeholders.
  • Display all the qualities required to provide a wide-ranging and confidential senior-level Personal Assistant Support service, including:
    • Comprehensive diary and in-box management.
    • Booking travel trains/flights.
    • Arranging events/meetings on and off site.
    • Arranging visits, where required.
    • Arranging hotel accommodation.
    • Ordering stationery.
    • Raising Purchase Orders.

Qualifications

  • Working in an environment where working efficiently under pressure and at pace will be key to your success.
  • Outstanding organisational and planning skills are essential in this role.
  • A high level of PC/IT expertise, particularly in respect of Keynote or PowerPoint applications and the production of presentations.
  • First-rate communication skills.
  • Excellent attention to detail.
  • You must be organised.
  • Able to operate with absolute integrity, confidentiality, and discretion.
  • Liaising with internal and external contacts in regards to projects and meetings.
