Personal Assistant to the Managing Director

Location: Coventry / Hybrid

Opportunity

We have a fantastic opportunity within our Energy Business Unit for a proactive Personal Assistant to the Managing Director.

The successful candidate will take the initiative in managing the MD's diary. You will act as a trusted partner to the Managing Director, providing high-quality executive, administrative and organisational support that maximises the effectiveness of the MD, facilitates efficient business operations, and ensures seamless coordination across stakeholders, governance activities and strategic priorities.

This is an exciting time to join a growing business unit. The role offers a varied and interesting workload, spanning diary management, stakeholder engagement, Board support, communications, governance activities, events, travel and project coordination, meaning no two days are the same.

Responsibilities

  • Provide confidential administrative and PA support to the Managing Director and Commercial Director, including diary management.
  • Assess and determine priorities and actions, in liaison with the Managing Director, and ensure appropriate action is taken within required timescales to resolve issues effectively.
  • Organise meetings with staff members, Board members and key external customers.
  • Take a proactive approach to ensure the Managing Director is fully prepared and briefed for all internal and external engagements.
  • Supervise the day-to-day workload of the Administration Assistant supporting the Finance Director and Commercial Director.
  • Maintain the Managing Director's files, records and documentation in an organised and systematic manner, both electronically and in paper format, ensuring they remain accurate and up to date.
  • Review and summarise reports and documents, preparing background papers and outgoing correspondence as required.
  • Prioritise and manage multiple projects simultaneously, ensuring timely follow-up and resolution of key issues.
  • Coordinate arrangements to support the daily activities of the Managing Director, including travel, accommodation, functions and professional engagements.
  • Manage high-level coordination across all levels of the organisation to produce reports and papers in collaboration with key stakeholders.
  • Ensure all company and Board meetings are properly convened, constituted, conducted and recorded.
  • Ensure decisions made at meetings are communicated to relevant parties and that agreed actions are implemented.
  • Ensure Board members have the information and support they require to operate effectively, including coordinating overseas visits where necessary.
  • Support a range of general administrative activities and undertake any other reasonable duties requested by the Managing Director.
  • Provide exemplary leadership in support of our Perfect Delivery philosophy and values.

Requirements

Essential Experience

  • Demonstrable experience in an administration, Executive Assistant or Personal Assistant role within a highly pressurised environment, requiring tact, judgement and discretion when handling internal and external contacts.
  • Experience of diary management and researching and booking travel and accommodation.
  • Experience of successfully supporting senior management.

Technical Skills

  • Proficient in keyboard and ICT applications.
  • Expert-level proficiency in Microsoft Outlook.
  • Intermediate-level proficiency in Microsoft Word, Excel and PowerPoint.

About Our Energy Business Unit

We have extensive experience in upgrading and replacing energy networks, delivering asset management services for major UK energy companies and network operators.

Our transmission and distribution services involve the upgrading and replacement of electricity assets both above and below ground. Within the electricity sector, we install and maintain assets including excavation, laying and jointing of cables (fluid-filled and XLPE), substations and overhead lines, as well as delivering new build, repair and refurbishment services.
