Your job is to give the founders their time back.
Timebeat builds precision time synchronisation hardware and software, used by stock exchanges, telecoms operators, broadcasters and defence programmes. We are small, profitable and growing, with offices in London, Ho Chi Minh City and Dallas. Our two founders work very long hours, and too much of that time goes on things that are not the business. You take all of that off them.
What you will do
Founders first
- Manage both founders' diaries and travel, UK and international
- Track what they have promised to whom, and chase until it happens
- Prepare documents so they arrive ready to sign or send
- Run errands and handle some personal admin, such as letting a cleaner into a founder's home or waiting in for a delivery

Sales admin
- Issue contracts, quotes and invoices, and track them through to signature and payment
- Keep the CRM up to date so the founders can see where things stand
Legal and HR admin
- Draft and issue NDAs, supplier, customer and employment agreements
- Set up and run company benefits such as the health plan
- Handle disputes and penalty notices, working with our solicitors on anything that needs a lawyer
The office
- Keep it stocked and running, look after suppliers and building management, and welcome visitors
What we are looking for
- Experience as a PA, EA, office manager or similar
- Genuinely organised, proactive and discreet
- Excellent written and spoken English, and confident dealing with customers, lawyers and senior people
- Careful with contracts, invoices and detail
- Happy with the practical side of the job as well as the desk side
- Right to work in the UK, in our SE16 office every day

Ideally, you also have a degree with a legal element, such as law or business law. It is a rare admin role where that training gets used every week. Experience with contracts, benefits admin or a CRM is a bonus.
How we work
The founders work long hours, and some things will not fit neatly between nine and five.
You work directly with the people who own the company. There is no layer in between, and your judgement counts.
