Be Smoke Free Administrator
Manchester | Full Time | 12 Month Fixed Term Contract
Pack the support. Coordinate the journey. Help someone stop smoking.
Behind every successful quit attempt is a team making sure the right support reaches the right person at the right time.
That’s where you come in.
As our Be Smoke Free Administrator, you’ll help prepare and coordinate nicotine replacement therapies and other stop smoking products for people across Manchester.
You’ll work alongside Stop Smoking Advisers, Tobacco Addiction Specialist Nurses, and Community Engagement Couriers—keeping medication records accurate, deliveries organized, and the wider service running smoothly.
This is not simply an administration role.
It is organization, precision, and better health—combined.
The impact you’ll make
You’ll help make sure people using Be Smoke Free receive a prompt, welcoming, and reliable service throughout their quit journey.
From accurately packing medication to coordinating deliveries and responding to enquiries, your work will connect clinical decisions with practical support.
You’ll
- Prepare and pack medication in line with instructions recorded on Quit Manager.
- Check and accurately record medication, batch numbers, and expiry dates.
- Coordinate delivery requests and work with couriers to organize efficient routes.
- Monitor stock, rotate supplies, and escalate low stock when needed.
- Maintain accurate spreadsheets, databases, and case-management records.
- Provide friendly, professional support to people using the service and colleagues across the team.
You’ll also help keep medication storage safe and organized, place stock and equipment orders, take messages, and provide clear information about the support available through Be Smoke Free.

Where you’ll work
- Location: Manchester
- Full Time Hours: 37.5 hours per week
- Contract: 12 Months FTC
Please note Full-time hours at Change Grow Live are 37.5 hours per week. For part-time roles, the salary and any associated payments will be pro rata based on contracted hours.
What you’ll bring
You understand that accuracy and compassion matter equally.
You’ll be organized, dependable, and confident managing detailed information. You’ll also know how to make people feel welcome, respond calmly to questions, and communicate clearly with colleagues and people using the service.
You’ll bring
- Strong organization and attention to detail.
- Clear written and verbal communication skills.
- Confidence using Microsoft Office, spreadsheets, and databases.
- An understanding of confidentiality and professional boundaries.
- The ability to manage priorities and work collaboratively within a busy team.
- A commitment to learning, supervision, and ongoing development.
Previous experience in administration, stock management, healthcare, or medication handling would be valuable, but your approach, reliability, and willingness to learn will be just as important.
