Full-Time, Fixed-Term/Contract to 31 December 2027 - Salary Up to £33,475 depending on Experience
Job Purpose
This role provides administrative and PMO support to the PaLaDIn project team, helping ensure the smooth day-to-day running and coordination of the project. The postholder will also support the coordination and facilitation of the Patient and Caregiver User Group, contributing towards meaningful co-creation and engagement with patient and caregiver representatives so that their voices are reflected in the design, development, and implementation of project outputs, particularly the Interactium data platform. This administrative role also includes supporting the PaLaDIn Finance team, assisting with financial administration and reporting tasks as required.
Key Responsibilities
- Planning and coordination of Patient and Caregiver User Group activities, including managing reimbursements for patient and stakeholder costs using TREAT-NMD finance systems.
- Act as a regular point of contact between Patient and Caregiver User Group members and the project.
- Provide administrative support to the PaLaDIn Project Manager(s) and Delivery Manager, including minute-taking, arranging meetings, and document preparation.
- Coordinate with work package leads across the PaLaDIn consortium as required to facilitate patient input into project activities and outputs.
- Monitor and evaluate the impact of patient engagement activities.
- Support the Project Manager(s) and Delivery Manager with development of reports, presentations, and other materials required within the project.
- Support the PaLaDIn Delivery Manager with any other project tasks as deemed necessary and appropriate for the role.
- Provide support to the PaLaDIn Finance Associate and Chief Financial Officer, including processing of supplier invoices, collating timesheets and activity evidence relating to the project, preparation of documents required for project grant claims, and managing travel costs and organisation.
- Any other duties appropriate to the role as reasonably required.

Knowledge, Skills and Experience
Essential
- Strong administrative experience, skilled in completing project documentation, and able to manage competing deadlines within complex, multi-stakeholder projects.
- Excellent interpersonal, written, and verbal communication skills, with the ability to engage diverse audiences, including non-native English speakers.
- A collaborative team player with experience in multidisciplinary teams, who promotes open communication, values diverse perspectives, and builds consensus.
- Ability to work independently with limited supervision, proactively gather information, and apply effective problem-solving skills.
- Excellent organisational and time management skills, with a strong ability to prioritise workloads systematically.
- Highly motivated, enthusiastic, and flexible with an innovative approach.
- Willingness to travel nationally/internationally and work flexibly, including outside of normal hours on occasion.
- Proficiency in Microsoft Office applications with an ability to flexibly adopt and learn other software packages as required.
- High level of attention to detail and accuracy.

Desirable
- Experience in working with patients and caregivers or other relevant stakeholder engagement experience.
- Experience working on large, complex, projects, ideally with grant funding.
- Proficient in specialised project and finance tools and software.
- Experience advising or collaborating with international colleagues.
- Understanding of communication dynamics in collaborative, cross-sector projects.
- Experience in a similar organisation or sector.
- Experience managing budgets and financial reporting, as well as grant claim submissions and evidence requirements.
- Transactional finance (managing invoices and receipts in line with process requirements).

Working Conditions
Hybrid – 3 days per week on site required as a minimum
Occasional travel, both within the UK and internationally, may be required.
Standard working hours: 9am – 5pm
