Mortgage Paraplanner – BTL Mortgages, Bridging Finance, Commercial Mortgages

Up to £45,000 | Hybrid | Fleet, Hampshire
4 days office, 1 day WFH

The Opportunity:

We are working with a specialist UK property finance and mortgage brokerage seeking a reliable, detail-oriented Paraplanner to support its senior brokers with the day-to-day administration and progression of live cases. This is a non-sales, non-advisory role, focused on keeping transactions moving, maintaining accurate records and ensuring deadlines are met. The successful candidate will play an important role in supporting brokers and delivering a smooth, efficient service to clients and third parties.

Key Responsibilities:

Case & Deal Administration

  • Manage cases from initial application through to completion.
  • Maintain and update case information across emails, CRM systems, Excel/Google Sheets and lender portals.
  • Prepare and maintain accurate case notes, timelines and deal trackers.
  • Ensure all documentation is correctly named, saved, filed and version-controlled.

Client & Third-Party Communication

  • Request and chase outstanding client documentation, including identification, bank statements, proof of income and application forms.
  • Liaise with lenders, underwriters, valuers, solicitors, estate agents and brokers to obtain updates and progress cases.
  • Draft clear, professional follow-up emails in line with broker instructions.
  • Keep clients informed of progress and next steps where instructed.

Application & Packaging Support

  • Assist with preparing lender application packs.
  • Upload and manage documentation across lender portals and internal systems.
  • Check applications for accuracy, completeness and readiness prior to submission.
  • Track key milestones, including valuation dates, offers, outstanding conditions, expiry dates and completion targets.

Pipeline, Task & Deadline Management

  • Maintain an accurate, up-to-date pipeline of live cases.
  • Monitor case progress and proactively flag delays, missing information and potential risks.
  • Track service levels and follow up on overdue actions.
  • Ensure all cases progress efficiently and that no tasks or deadlines are overlooked.

Compliance & File Management

  • Maintain accurate, well-organised client files in line with company policies and procedures.
  • Follow GDPR and data protection requirements.
  • Support brokers with compliance checks and the preparation of audit-ready files.
  • Ensure all records are complete, clear and up to date.

General Broker Support

  • Assist with inbox and email organisation where required.
  • Provide diary support and help prioritise tasks.
  • Carry out basic deal research and information gathering.
  • Provide general administrative support to brokers and management.

About You

Essential:

  • At least 3 years’ experience sourcing and managing cases within the UK mortgage market.
  • Strong written and spoken English.
  • Exceptional organisational skills and attention to detail.
  • Confident and professional when following up with clients and third parties, able to be polite but persistent.
  • Able to follow instructions accurately and consistently.
  • Comfortable managing multiple live cases and competing deadlines.
  • Confident using Outlook, Excel, Word, Google Workspace, PDFs and document management tools.

Desirable:

  • Experience using CRM systems, deal pipelines and lender portals.
  • Familiarity with OMS would be advantageous.
  • Previous experience supporting brokers within a specialist property finance or mortgage brokerage.
