Office Administrator & Exams Officer
Alternative Provision
Purpose of the Role
To provide high-quality administrative, safeguarding and operational support within an Alternative Provision (AP). The role ensures accurate data management, compliant safeguarding practice, efficient exam and award administration, and effective communication with home schools, parents and external agencies.
Key Duties
🛡️ Safeguarding Lead Responsibilities
- Act as the Designated Safeguarding Lead (DSL) for the provision.
- Receive, record and respond to safeguarding concerns, ensuring timely escalation and referral.
- Maintain accurate safeguarding logs, chronology and case files in line with Keeping Children Safe in Education (KCSIE).
- Liaise with social workers, home schools, police, Early Help and external agencies.
- Deliver safeguarding briefings and updates to staff; ensure safeguarding is embedded in daily practice.
- Oversee safer recruitment checks, visitor management and site safety compliance.
- Ensure all staff complete statutory safeguarding training and maintain up-to-date records.
📝 Exam Secretary & Award Administration
- Act as the Exam Secretary for the centre, ensuring compliance with JCQ and awarding body regulations.
- Manage exam entries for Edexcel Functional Skills, GCSE resits, BTEC units, and other qualifications delivered.
- Coordinate entries and certification for:
- Edexcel Awards
- King’s Trust Award (Level 1)
- AQA Unit Award Scheme
- Maintain secure storage of exam papers and controlled assessments.
- Organise exam timetables, invigilation schedules and access arrangements.
- Submit results, manage certification, and maintain accurate exam records.
- Liaise with awarding bodies, moderators and home schools regarding entries and outcomes.

📊 Attendance, Data & Reporting
- Report daily attendance to home schools, commissioners and local authorities.
- Monitor attendance patterns, produce weekly summaries and escalate concerns.
- Maintain accurate student records, timetables and behaviour logs.
- Produce reports for senior leaders, Ofsted preparation and safeguarding meetings.
💻 Management Information System (QuickSchools)
- Maintain and update student data on QuickSchools MIS.
- Generate attendance, behaviour, safeguarding and progress reports.
- Ensure data accuracy, GDPR compliance and secure record-keeping.
🗂️ General Office Administration
- Provide front-office support including calls, emails, visitor management and daily operational coordination.
- Prepare letters, reports, spreadsheets and presentations using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Manage filing systems, student folders, induction packs and compliance documentation.
- Support communication with parents, transport providers, home schools and external professionals.

💷 Finance & Petty Cash
- Manage petty cash, receipts and reconciliation logs.
- Follow financial procedures for small purchases and resource ordering.
- Support the business/operations manager with basic financial administration.
Professionalism & Compliance
- Maintain confidentiality and GDPR compliance at all times.
- Uphold AP policies including safeguarding, attendance, behaviour and data protection.
- Participate in safeguarding updates, CPD and professional development.
- Contribute to a safe, regulated and supportive environment for vulnerable learners.
Person Specification (Summary)
- Strong proficiency in Microsoft Office Suite.
- Experience using MIS systems (QuickSchools desirable).
- Knowledge of JCQ regulations, exam administration and award entry processes.
- Strong safeguarding knowledge; DSL training desirable.
- Excellent organisational and communication skills.
- Ability to manage sensitive information with discretion.
- Experience in Alternative Provision or SEND settings beneficial.
