Resource & Project Administrator – Part Time

Location: West Horndon, Essex
Hours: 25 hours per week, Monday–Friday, 10am–3pm
Reporting to: Managing Director / Senior Management

About the Role

We are looking for an organised, proactive and commercially aware Resource & Project Administrator to join our team.

This is a key coordination role supporting the smooth running of our projects and helping management maintain a clear view of resources, workloads, project progress and commercial information.

You’ll work closely with project managers and the wider team to ensure information is accurate, actions are followed up and potential issues are identified early.

  • Maintain project trackers and resource forecasts
  • Coordinate resource planning and workload information across the team
  • Monitor project progress, deadlines, milestones and outstanding actions
  • Collate and review staff timesheets
  • Compare project hours against forecasts and agreed allowances
  • Support the preparation and administration of fee proposals
  • Coordinate information required for project invoicing
  • Monitor project milestones, variations, POs and invoice readiness
  • Follow up outstanding information and actions with project teams
  • Prepare concise information for regular management reviews
  • Support the smooth set-up and administration of new projects
  • Maintain accurate and organised project records

About You

We’re looking for someone who is:

  • Highly organised with excellent attention to detail
  • Proactive and comfortable taking ownership of tasks
  • Confident working with spreadsheets, trackers and project information
  • A strong communicator who is comfortable liaising with different people
  • Persistent when it comes to following up actions and deadlines
  • Commercially aware and able to spot potential issues
  • Reliable, professional and able to work independently

Previous experience within architecture, construction, design, consultancy or another project-based environment would be advantageous, although we’re open to candidates with strong administration skills.
