Southern Counties Veterinary Specialists
Southern Counties Veterinary Specialists is a multidisciplinary referral centre based in Ringwood, Hampshire, offering a wide range of specialist veterinary services. Our team includes recognised specialists across anaesthesia, cardiology, dermatology, internal medicine, oncology, ophthalmology, neurology, orthopaedics, diagnostic imaging, spinal surgery and soft tissue surgery, alongside a dedicated animal rehabilitation team.
About the Role
As part of our busy Client Care team, you’ll play an important role in supporting clients, referring veterinary practices and clinicians, helping to ensure a smooth and professional experience throughout every stage of the referral journey.
How You’ll Make a Difference
We are looking for an organised and customer-focused administrator to join our established Client Care team. This is a fast-paced role requiring excellent communication skills, attention to detail and the ability to prioritise effectively while delivering an outstanding service to clients and veterinary professionals.
You’ll work closely with clients, insurance providers, clinicians and referring practices, ensuring enquiries are handled efficiently and appointments are coordinated smoothly. Sharing information and working collaboratively as part of a team are key to success in this role.
General Responsibilities
- Oversee the practice email inbox, prioritising and responding to urgent communications
- Provide professional telephone support to clients and referring veterinary practices
- Arrange appointments for new referrals in a timely manner
- Liaise with pet insurance companies regarding claims and enquiries
- Review clinical histories and identify relevant information
- Chase documentation and respond to clinician queries
- Process client payments accurately
- Support emergency case administration and coordinate urgent appointments
- Work collaboratively with administrative and clinical colleagues across the referral centre

Working Pattern
- 34.5 hours per week, Tuesday-Friday
- Shifts scheduled between 7:30am and 6:30pm
- One-hour lunch break
- Shared weekend and bank holiday rota
