Description
We are looking for a proactive, organised and approachable Office Assistant to join YouLend’s dynamic Office Management team. This varied, hands-on role is ideal for someone who enjoys helping people, spotting what needs attention and taking ownership of tasks through to completion. You will play an important role in keeping the office safe, welcoming and running smoothly, creating a positive experience for employees, visitors and suppliers. Your key responsibilities will include managing stock and stockrooms, coordinating kitchen and food arrangements, supporting front of house and visitor security, maintaining the overall office environment, and providing meeting support. Working in a fast-paced environment, you will be comfortable adapting to changing priorities, using your initiative and finding practical solutions to day-to-day needs. Reporting to the Office Manager and working alongside a full-time Office Assistant, you will support teams across the business and provide cover when required.
Our office working hours operate from 8am to 6pm, Monday to Friday.
Key Responsibilities
- Front of house and security: Welcome and direct visitors, notify colleagues, and manage visitor and temporary employee passes.
- Office environment: Keep reception tidy, safe and welcoming, and help ensure meeting rooms, kitchens and shared areas are ready for use.
- Meetings and hospitality: Set up meeting rooms, prepare refreshments and arrange catering.
- Stock management: Take full responsibility for monitoring stock levels, placing orders and replenishing kitchen supplies, stationery and branded materials. Keep stockrooms tidy, clearly organised and easy to use, maintain an accurate overview of inventory, and ensure essential items do not run out.
- Food and wellbeing: Order groceries and catering, restock the kitchen, support subsidised lunches, and coordinate birthday cakes, massage bookings and other wellbeing arrangements.
- Office administration: Manage post, couriers, collections and deliveries, gifts, incentives, photography bookings and daily requests.
- Travel: Arrange flights, hotels, restaurants and related domestic and international travel requirements.
- Facilities and suppliers: Liaise with landlords, contractors and suppliers; resolve or escalate facilities issues.
- Onboarding and Offboarding: Prepare welcome packs and introductions, remove leavers from relevant accounts and coordinate practical requirements, such as equipment returns.
- Events and projects: Support monthly events, desk moves, office extensions, health and safety inspections and other ad hoc Office Management projects.
- Communication: Monitor and action the requests in the Office Management inbox and share clear office updates.
- Ownership: Take assigned tasks through to completion, keeping colleagues informed and following up as needed.

Essential skills and behaviours
- Strong organisation, time management and attention to detail.

- First aid and fire marshal training, or willingness to complete it.
- Experience in office support, administration, reception, hospitality or facilities coordination.
