Part-Time Operations Producer/Coordinator

About R5 Global

R5 Global is a growing security and risk management company supporting clients across the construction, corporate, events, defence and hospitality sectors. We are looking for an exceptionally organised, personable and proactive Operations Producer / Coordinator to take ownership of the day-to-day coordination that keeps the business running effectively.

This is not a traditional administrative assistant role. You will work closely with our CEO and COO, becoming a trusted point of contact for contractors, operational managers, suppliers and clients.

The Role

You will coordinate operational deployments and wider business administration, ensuring that personnel, travel, accommodation, documentation and communications are properly organised. You will manage multiple workstreams, respond calmly when plans change and make sure actions are followed through to completion. As R5 continues to grow, this role is very likely to develop into a full-time position for the right person.

Key Responsibilities

  • Acting as a central point of contact for contractors and operational managers
  • Coordinating deployments, contractor availability and shift information
  • Organising flights, accommodation, transport and other travel arrangements
  • Liaising with hotels, suppliers, contractors and clients
  • Negotiating rates and securing arrangements within agreed budgets
  • Managing last-minute changes, lateness, absences and routine operational issues
  • Supporting contractor onboarding, documentation and compliance
  • Drafting professional correspondence and monitoring relevant inboxes
  • Maintaining trackers, calendars, records and shared files
  • Supporting timesheets, expenses, invoicing and payment administration
  • Preparing clear updates for the CEO and COO
  • Identifying problems early and helping to resolve them

About You

You may have experience in production, events, project coordination, operations, executive support or another fast-moving environment.

You will be:

Security-sector experience is not essential. The right attitude, communication skills and ability to take ownership are more important.

Working Arrangements

This is a part-time hybrid role, with regular in-person working alongside the CEO in West London and flexibility to complete other hours remotely.

We are looking for someone who can provide consistent availability across the working week, with occasional flexibility where deployments require support outside normal office hours.

As R5 continues to grow, this role is very likely to develop into a full-time position for the right person. We are looking for someone who wants to become genuinely embedded within the company and grow with us over the longer term.
