Part-Time Receptionist โ€“ Private Pregnancy Ultrasound Clinic

BabyVue is a private pregnancy ultrasound clinic providing pregnancy scans and blood tests to expectant families. With clinics in Orpington and Dagenham, we pride ourselves on creating a warm, calm and reassuring environment during what can be a very special โ€” and sometimes emotional โ€” time for our clients.

We are looking for a warm, reliable and highly personable Receptionist to join our small team at our Orpington clinic.

Working Hours

The main working day for this role will be every Sunday at our Orpington clinic.

We are therefore looking for someone who can commit reliably to regular Sunday working. There will also be opportunities for additional hours covering staff sickness and annual leave at both our Orpington and Dagenham clinics, so some flexibility would be beneficial.

About the Role

As the first person our clients meet, you will play an important part in making every visit feel welcoming, professional and well organised.

Your responsibilities will include:

  • Warmly welcoming clients and managing check-in and check-out
  • Answering telephone calls and responding to client enquiries
  • Booking, confirming and managing appointments
  • Providing clear information about our scans, blood tests and other services
  • Taking payments and maintaining accurate client records
  • Handling sensitive personal and health information with the highest level of confidentiality and discretion
  • Supporting our sonographers and wider clinic team with day-to-day administration
  • Keeping the reception and waiting areas clean, tidy and welcoming throughout the day
  • Cleaning and resetting the clinic at the end of each shift, ensuring it is left clean, tidy and ready for the next working day
  • Opening the clinic and securely locking up at the end of the shift
  • Providing additional cover for sickness and annual leave at our Orpington and Dagenham clinics when available

Confidentiality

Confidentiality is an essential part of this role. You will have access to sensitive client information and may be present during private or emotional conversations.

We are looking for someone who understands the importance of maintaining professional boundaries and treating all client information, conversations and records with complete discretion and confidentiality.

Who We're Looking For

This role would suit someone who is naturally warm, caring and reassuring, with the confidence and sensitivity to communicate with expectant parents and families.

You should have:

  • Excellent customer service and people skills
  • A calm, friendly and professional manner
  • A strong understanding of confidentiality and professional discretion
  • Strong verbal and written communication skills
  • Good telephone etiquette
  • Strong attention to detail and organisational skills
  • Confidence working independently and taking responsibility for opening and closing the clinic
  • A willingness to carry out the end-of-shift cleaning duties that form part of the role
  • The ability to manage several tasks while maintaining excellent client care
  • Reliable availability every Sunday
  • Flexibility to provide occasional additional cover at our Orpington and Dagenham clinics

Previous reception, healthcare or customer-facing experience would be beneficial, but the right attitude and approach to our clients are equally important to us.

Opportunity to Develop

For the right person, there may also be an opportunity to develop additional clinical skills and receive training in phlebotomy (blood taking).

This could provide an excellent opportunity for someone interested in developing their skills and taking on additional responsibilities within a private healthcare environment.
