Bridge two vital teams at Endometriosis South Coast!

This role acts as the operational engine connecting Endometriosis South Coast’s Partnerships and Fundraising functions, ensuring no warm lead or funding opportunity slips through the cracks. In charities, boundaries between corporate sponsors and grant funders are often blurry—a corporate partner might also offer a grant, or a challenge runner’s employer could be a prime corporate prospect. By actively spotting these overlap cases and keeping the shared Contact Repository clean and GDPR-compliant, this coordinator prevents isolated spreadsheets, avoids double-handling donors, and captures maximum value from every contact.

Equally important, the role safeguards leadership capacity and sharpens strategic decision-making. Instead of Trustees Amy-Jane and Cara spending hours in extra meetings or cross-referencing pipelines, this coordinator synthesizes updates into clear summaries. Combining partnership pipelines and grant statuses into a single monthly view gives Founder Jodie Hughes and the Board an accurate picture of ESC’s total financial health—turning good intentions into seamless, efficient cross-team collaboration.

What will you be doing?

Endometriosis South Coast (ESC) is an inclusive charity supporting people navigating an endometriosis diagnosis or living with the condition. Built on ensuring no one faces it alone, ESC drives impact through awareness campaigns, an active online community, monthly support meetings, and targeted fundraising.

Our work is guided by four core commitments: spreading awareness of this debilitating condition; supporting and funding ongoing research; providing accessible education and peer support through monthly community meetings; and fundraising to sustain and grow our services for the future.

Role Overview

This role exists to make sure the working relationship between ESC's Partnerships function (Amy-Jane Gilbert) and Fundraising & Grants function (Cara) actually happens day-to-day, rather than staying a good intention on paper. The Partnerships Board Summary sets out an explicit interface protocol between the two areas — clear domains, named overlap cases, and a two-way flow of information — and this role is the person who keeps that protocol live.

You are not a decision-maker for either side. Amy-Jane and the Partnerships Team own commercial partnerships (Femtech, Corporate/Workplace, Medical & NHS, Sector & VCSE); Cara owns grant funders, trusts, and individual/challenge-event fundraisers (e.g. Great South Run). Your job is to make sure information crosses between them, overlap cases get spotted and routed to the right person, and the shared Contact Repository stays one system rather than splitting into two.

Duties & Responsibilities

Cross-Team Coordination

  • Attend the monthly Partnerships Team catch-up (Amy-Jane, Partnerships Lead, and the three category volunteers) and Cara's funding update, whether that's a standalone conversation or a shared session.
  • Summarise each side's activity for the other — Partnerships pipeline movement for Cara; funding status and reporting deadlines for the Partnerships Team — so neither side has to attend both meetings themselves.
  • Keep a simple running note of what each side needs to know from the other, so nothing depends on memory.

Overlap Case Identification

  • Watch for contacts that could fall under both Fundraising & Grants and commercial Partnerships — a corporate partner who also wants to make a grant; a trust that also wants an ongoing branded partnership; a challenge-event fundraiser whose employer looks like a partnership prospect.
  • Raise any such contact with both Amy-Jane and Cara for a joint decision on ownership, rather than letting it sit ambiguously or be worked twice.
  • Log the ownership decision and the reasoning in the Contact Repository's Notes column.

Contact Repository Stewardship

  • Spot-check that contacts are tagged to the correct Category and Owner — Partnerships categories for Amy-Jane's side, Grants & Trusts or Fundraiser /Challenge Event for Cara's side.
  • Flag any contact that looks mis-tagged or has gone quiet on either side.
  • Make sure the Repository stays the single shared system — no parallel spreadsheet or list growing on either side.

Reporting Support

  • Contribute a short combined view — Partnerships pipeline plus funding status — to the monthly board report, working with the Partnerships Lead.
  • Support the Quarterly Tier Review by making sure any funding-related context Cara holds is available to Amy-Jane and Jodie ahead of the meeting.
