Role Overview
We are seeking a reliable and personable Part-Time Receptionist with the opportunity to progress to a full-time on-site role based in Liverpool. You will provide front-of-house support for patients and visitors, handle incoming calls and help ensure the front desk runs smoothly. This position requires consistent on-site presence during assigned shifts, and a professional, empathetic approach to people seeking hair and skin treatments.
Key Responsibilities
- Greet patients and visitors, and manage check-in and check-out procedures
- Answer telephone calls and handle patient enquiries in a warm, professional manner
- Book, amend and confirm appointments
- Respond promptly to patient emails and messages
- Maintain accurate and up-to-date patient and clinic records
- Process forms, organise files and carry out general clerical duties
- Update spreadsheets and documents
- Process card payments, issue receipts and maintain daily takings records
- Send appointment reminders and follow-up communications to patients
- Scan, upload and file documents, consent forms and patient paperwork
- Coordinate with clinical staff and the Clinic Manager to ensure smooth patient flow

Technical Skills Required
- Google Workspace: Gmail, Google Sheets, Google Docs, and Google Drive.
- Microsoft Office: Excel, Word and Outlook.
- Typing: Fast and accurate typing.
- Booking systems: Experience with appointment scheduling or clinic management software, or the ability to learn new systems quickly
- Data handling: Accurate and confidential management of patient data, with an awareness of GDPR
- Payments: Card payment terminals and online payment systems
- Documents: Scanning, PDF editing and e-signature tools (e.g. Adobe Acrobat, DocuSign)
- Messaging: WhatsApp Business, Facebook and Instagram inbox
- Video calls: Zoom, Google Meet and Microsoft Teams for online consultations
- Basic IT support: Printers, scanners, Wi-Fi, logins and password management

Qualifications and Requirements
- Demonstrated reception experience, including greeting visitors, managing appointments and coordinating front-desk operations
- Strong phone etiquette and communication skills for handling calls, messages and patient enquiries clearly and courteously
- Solid clerical skills, including data entry, record keeping and basic administrative support
- Proven customer service abilities, with a focus on patient-centred care, professionalism and confidentiality
- Comfortable working in a medical or clinical environment; prior healthcare reception experience is an advantage
- Excellent written English and email skills
- Ability to stay organised, multitask and manage time effectively in a busy reception area
- Reliable availability for part-time, on-site shifts in Liverpool, and the ability to collaborate with clinical and administrative teams
