Patent Secretary
A leading IP firm is looking to appoint a Patent Secretary to support its growing London based biotech team. The firm offers a collaborative working environment, a varied workload and the opportunity to develop your knowledge across a broad range of patent work. With a strong benefits package and a 35 hour working week, this is an excellent opportunity for someone looking to build a long term career within IP.
The successful candidate will provide day to day secretarial and administrative support to the patent team, working closely with attorneys and other colleagues. The role offers variety across patent applications, formalities, billing, document preparation and general team support, with training provided on specialist systems where required.
Responsibilities
- Drafting and formatting letters and emails
- Making amendments to patent specifications using Track Changes
- Preparing forms and documentation for new patent applications
- Preparing legal documents, including extension of time requests
- Supporting online patent filings
- Using patent databases and Patent Office websites to locate and download specifications and correspondence
- Preparing internal memos, forms and other documentation
- Handling internal queries and telephone calls
- Assisting with billing and entering time and disbursements
- Preparing documents for hearings
- Producing reports from the firm's CRM system
- Attending team meetings and providing occasional minute taking support
- Providing audio and copy typing support when required
- Taking on additional responsibilities as required

Requirements
- Previous experience within a patent, legal or professional services environment
- Strong knowledge of Microsoft Office, particularly Word, Excel and Outlook
- Excellent attention to detail and a high level of accuracy
- Strong organisational skills and the ability to manage competing priorities
- A proactive, practical and willing approach to learning
- Ability to work effectively both independently and as part of a team
- Strong communication skills and the ability to build relationships with colleagues at all levels
- Comfortable working under pressure and remaining calm in demanding situations
- Flexible approach to responsibilities and working requirements
- CIPA qualification would be advantageous
