General Summary of Duties
The Orthopedic Care Coordinator serves as a primary liaison between orthopedic providers, patients and families, clinical staff, imaging services, outside healthcare organizations, and other departments involved in the patient's care. The Orthopedic Care Coordinator performs a combination of clinical, administrative, scheduling, care coordination, and patient support functions to ensure patients receive timely, efficient, safe, and compassionate orthopedic care.
The position provides direct clinical support to orthopedic providers, assists with orthopedic procedures within the individual's scope of practice and competency. The Orthopedic Care Coordinator also coordinates orthopedic appointments, imaging, referrals, authorizations, medical records, outside facility communication, and follow-up needs. The Orthopedic Care Coordinator proactively anticipates patient and provider needs, supports efficient patient flow, facilitates communication among members of the healthcare team, and assists patients in understanding their care plan, appointments, testing, and next steps. The position is responsible for maintaining accurate and timely documentation and ensuring that necessary information is available to support each patient's visit and ongoing care.

Essential Functions
- Clinical Support: Provides direct clinical support to orthopedic clinicians and functions within the applicable Medical Assistant and/or Orthopedic Technician scope of practice. Maintains current competencies, required certifications, continuing education, and training necessary to perform assigned clinical and orthopedic duties safely and effectively. Prepares patients for orthopedic examinations and procedures by obtaining and documenting vital signs, reason for visit, relevant history, medication and allergy information, and other appropriate clinical information in the Electronic Health Record (EHR). Reviews and updates the patient's health information and ensures pertinent clinical information is available to the orthopedic provider prior to the patient's visit. Assists orthopedic providers with examinations and procedures, including but not limited to: Casting and cast removal, Splinting and bracing, Suturing and suture removal, Injections within applicable scope and competency, Wound care and dressing changes, Orthopedic equipment fitting and delivery, Patient positioning, Other orthopedic procedures as directed by the clinician. Provides patient education and instructions related to orthopedic procedures, equipment, follow-up care, and provider recommendations within the individual's scope of practice. Performs and documents clinical procedures and diagnostic testing as trained and competent. Responds appropriately to medical emergencies within the clinic and follows established emergency procedures.
- Care Coordination and Patient Access: Serves as a primary point of contact for orthopedic patients and families, providing timely, efficient, and compassionate customer service. Coordinates orthopedic appointments, follow-up appointments, procedures, diagnostic testing, referrals, and other services required as part of the patient's orthopedic care. Reviews orthopedic orders and ensures orders contain the necessary information for scheduling and completion. Coordinates urgent orthopedic appointments, imaging, and other time-sensitive services in collaboration with orthopedic providers, imaging staff, clinical staff, and outside facilities. Communicates with patients regarding upcoming appointments, procedures, imaging, preparation requirements, location, expected arrival time, and other relevant information. Contacts patients when additional information, documentation, insurance information, or follow-up is needed. Provides patients with information regarding their appointments and care coordination needs while remaining within the scope of practice. Questions requiring clinical interpretation or provider-level decision-making are referred to the appropriate clinician. Coordinates communication between orthopedic providers, nurses, medical assistants, imaging departments, laboratories, patient services, referral staff, and outside healthcare organizations. Participates in pre-visit planning and ensures necessary information is available in the EHR prior to the patient's appointment, including imaging, laboratory results, consultation notes, hospital records, and other relevant documentation. Assists with post-visit coordination, including scheduling follow-up appointments, arranging testing, obtaining records, and communicating next steps to patients as directed by the provider.
- Imaging and Diagnostic Coordination: Coordinates orthopedic-related imaging appointments, including X-rays, CT, MRI, and ultrasound, as applicable. Verifies that imaging orders contain the appropriate information and communicates with providers or clinical staff when additional information is required. Coordinates urgent imaging requests and communicates with radiology/imaging staff to facilitate timely appointments when clinically indicated by the ordering provider. Assists with MRI screening and obtains information regarding implanted medical devices or other items requiring imaging clearance, forwarding information to appropriate imaging personnel for final determination. Facilitates transfer of imaging studies and records to outside facilities through approved systems, including PACS, electronic exchange, or discs when necessary and permitted. Obtains appropriate record releases when providing imaging, reports, or other medical records to patients or outside organizations.
- Insurance, Authorization, and Administrative Coordination: Verifies insurance information when scheduling orthopedic services and updates patient information when necessary. Identifies patients who are listed as self-pay and follows established procedures to verify insurance coverage and update the medical record when applicable. Educates patients regarding scheduling and insurance processes within the scope of the position and refers questions requiring financial, billing, or clinical interpretation to the appropriate department or clinician. Ensures required paperwork, consent forms, referrals, authorizations, and other documentation are completed and available prior to scheduled procedures or appointments.
- Patient Communication and Follow-Up: Answers incoming calls and responds to patient messages related to orthopedic services, appointments, imaging, procedures, and care coordination. Serves as a resource to patients, providers, and staff regarding orthopedic scheduling and coordination processes. Contacts patients as needed to confirm appointments, provide preparation instructions, obtain missing information, and facilitate follow-up. Communicates with patients in a manner that is professional, respectful, culturally appropriate, and consistent with organizational standards. Maintains confidentiality and protects patient health information in accordance with organizational policies and applicable regulations.
- Clinical Workflow and Team Collaboration: Works collaboratively with orthopedic providers, nurses, medical assistants, imaging staff, referral staff, patient services, laboratory personnel, and administrative staff to promote efficient patient flow. Participates in regular communication with clinical teams regarding schedule management, pre-visit planning, post-visit needs, urgent appointments, and outstanding patient care coordination needs. Proactively anticipates provider and patient needs and identifies barriers that may delay orthopedic care. Maintains orthopedic examination and procedure rooms, including stocking supplies, cleaning rooms, room turnover, and preparation of instruments and equipment as needed. Cleans instruments after use and prepares equipment for sterilization according to established procedures. Ensures orthopedic equipment, supplies, and clinical areas are maintained in a safe and organized condition. Participates in quality improvement and patient safety initiatives related to orthopedic services. Participates in Medical Assistant, department, and other organizational meetings as required. Performs other duties as assigned.

Qualifications
Education
- High School Diploma or GED required.
- Additional education or training in medical terminology, healthcare administration, care coordination, or a related field preferred.
Experience
- Previous experience in a medical office or orthopedic setting preferred.
- Experience in orthopedic clinical care, medical assisting, patient coordination, scheduling, imaging coordination, referrals, insurance authorization, or related healthcare services preferred.
License/Certifications
- N/A
Knowledge and Abilities
- Knowledge of medical office practices, orthopedic terminology, procedures, and workflows.
- Knowledge of patient scheduling, referrals, insurance verification, and authorization processes.
- Knowledge of infection control, safety, confidentiality, and patient privacy practices.
- Knowledge of Electronic Health Records and other healthcare information systems.
- Strong clinical and organizational skills with the ability to coordinate multiple aspects of patient care.
