Job Title: Front of House / Patient Coordinator

Location: Knightsbridge / Chelsea, London

Salary: £30,000–£40,000 DOE

Type: Full Time or Part Time

Full-Time Hours: Compressed into 4 longer days, approximately 9:15am–7pm

Weekend Requirement: 1 Saturday OR 1 Sunday every other week

About the Clinic

I’m representing a highly regarded, independent, doctor-led medical aesthetics clinic based in Knightsbridge, London, just a short walk from Knightsbridge Underground Station.

Established over a decade ago, the clinic has become a recognised name within the UK medical aesthetics industry, combining advanced treatments, innovative technology and a highly personalised approach to patient care.

The founder is a very established name within medical aesthetics, with almost two decades of experience and a huge presence both within the industry and across social and digital platforms. Despite its profile, this is very much an independent clinic with a small, close-knit team. Patient experience is incredibly important to them, and they have built a loyal patient base around providing warm, personal and professional care.

The clinic is also very forward-thinking when it comes to treatments and technology, continually investing in some of the latest brands, devices and innovations within medical aesthetics. Their offering includes advanced injectables, skin treatments, regenerative medicine and device-led treatments including HALO, BBL HEROic, Moxi, Sciton JOULE, SkinPen and more.

They’re now looking for a warm, polished and highly organised Front of House / Patient Coordinator to become an important part of the team.

About the Role

As Front of House / Patient Coordinator, you’ll be one of the first people patients interact with, so you’ll play a huge part in creating the experience the clinic is known for.

You’ll welcome patients, manage enquiries and appointments, coordinate busy practitioner diaries, process payments, support rebooking and follow-ups, and generally make sure everything runs smoothly behind the scenes.

You’ll work closely with the doctors, practitioners and wider clinic team, helping each patient have a seamless experience from their initial enquiry through to their appointment, aftercare and future visits.

They’re looking for someone who genuinely enjoys looking after people. Someone warm and personable, but also organised, switched on and able to notice what needs doing without always needing to be asked.

Key Responsibilities

  • Welcome patients and visitors warmly and professionally, ensuring they feel comfortable from the moment they arrive
  • Manage incoming enquiries across phone, email and messaging platforms
  • Coordinate appointments, rescheduling and multiple practitioner diaries
  • Check patients in and out and ensure relevant forms and documentation are completed accurately
  • Process payments and maintain accurate patient records
  • Support patients with general information about treatments, skincare, products and services
  • Coordinate follow-up appointments and encourage rebooking where appropriate
  • Liaise closely with doctors and practitioners to ensure smooth daily clinic flow
  • Help maximise practitioner diaries and make the best use of appointment availability
  • Maintain an immaculate, organised and welcoming reception and waiting area
  • Support stock management and ensure reception supplies, skincare and clinic materials are well maintained
  • Assist with opening and closing the clinic
  • Handle patient feedback professionally and escalate concerns where appropriate
  • Support skincare and treatment recommendations where appropriate
  • Help with clinic events, campaigns and general administrative duties
  • Maintain the highest levels of patient confidentiality, discretion and customer care
  • Support the wider team wherever needed to ensure the clinic continues to deliver an exceptional patient experience

About You

  • Previous Front of House, Patient Coordinator, Reception or customer-facing experience
  • Experience within aesthetics, private healthcare, dental, beauty, luxury hospitality or another premium environment would be highly beneficial
  • Confident managing busy diaries, bookings and patient enquiries
  • Warm, polished and professional with excellent communication skills
  • Highly organised with strong attention to detail
  • Comfortable working within a busy clinic and able to prioritise effectively
  • Proactive and happy to take ownership rather than waiting to be asked
  • Naturally good at building relationships and making patients feel comfortable
  • Genuinely passionate about delivering an exceptional patient experience
  • An interest in aesthetics, skincare and wellbeing
  • Comfortable learning about treatments, products and new technologies
  • Flexible around the clinic’s working pattern and weekend rota
