Henley-on-Thames - office based, no hybrid working on offer
Hours
- 40 hours per week, Monday to Friday, 10:00am to 18:00, with Saturday working every other week
Salary
£32,000

Based in the elegant Badgemore Park, our luxurious treatment rooms have ample private parking and a discrete entrance, with appointments to suit your busy schedule. Our experienced and qualified medically led team work closely with you to achieve great results.
Role Purpose
This is a patient-facing, commercially focused role at the heart of Healthium Clinics. The Patient Coordinator & Sales Support will manage the patient journey from first enquiry through to consultation, treatment and follow-up, while actively converting genuine interest into booked appointments and revenue. Every inbound call, email, website enquiry or social media lead should be treated as a sales opportunity and handled with pace, confidence and excellent service.
Commercial mindset: respond quickly, understand the patient's need, build trust, overcome objections appropriately, and move the enquiry towards a booked consultation or treatment.
Key Responsibilities
Patient Coordination & Experience
- Act as a warm, professional and knowledgeable first point of contact for prospective and existing patients across telephone, email, website and social channels.
- Guide patients through the full journey - from initial enquiry and consultation booking through to treatment coordination, follow-up and ongoing engagement.
- Coordinate appointments, clinician availability and clinic rotas to support an efficient patient experience.
- Provide clear, timely information on services, treatment pathways, pricing and next steps, escalating clinical questions to the appropriate clinician.
- Build strong patient relationships that encourage trust, repeat visits, referrals and long-term loyalty.
- Maintain exceptional front-of-house standards and ensure the clinic environment consistently reflects the Healthium brand.

Sales Generation, Conversion & Revenue Support
- Own inbound enquiries and actively convert them into booked consultations and treatments. The expectation is not simply to answer a query, but to progress the conversation towards a sale wherever clinically appropriate.
- Follow up leads promptly and consistently, using telephone, email and other agreed channels to maximise conversion.
- Proactively generate sales opportunities through lead nurturing, previous-enquiry follow-up, patient reactivation, treatment reminders and relevant promotional activity.
- Identify appropriate cross-sell and repeat-treatment opportunities based on patient interest and approved clinic services, without compromising clinical suitability or patient care.
- Confidently handle common objections around timing, price and treatment choice, using strong product knowledge and a consultative sales approach.
- Maintain accurate CRM records, next actions and follow-up dates so that no viable enquiry is lost.
- Track lead sources, conversion rates, bookings and sales performance, and share useful feedback with the Marketing Team on lead quality and campaign effectiveness.
- Support offers, campaigns and patient-retention initiatives that contribute directly to clinic revenue growth.
Clinic Operations & Group Support
- Support the smooth day-to-day running of Healthium Clinics, including front-of-house administration and coordination with clinicians.
- Work collaboratively with colleagues across Healthium Clinics, Accellerate and RJALogix when group-wide customer, sales or administrative support is required.
- Handle information professionally and confidentially, maintaining accurate records and following relevant policies, procedures and data-protection requirements.
- Look for practical ways to improve the patient journey, response times, booking processes and overall commercial performance.

What Success Looks Like
- Enquiries are answered quickly, professionally and with a clear next step.
- A strong proportion of qualified enquiries convert into consultations and treatments.
- Follow-ups are completed consistently and opportunities are not allowed to go cold.
- Patients receive a seamless, premium experience from first contact onwards.
- CRM and sales data are accurate enough to understand pipeline, conversion and performance.
- The clinic is organised, welcoming and commercially proactive.
Person Specification
- Previous experience in patient coordination, sales support, customer service, account management or a similar commercially focused role; experience in a clinic, healthcare, aesthetics, wellness or premium service environment would be advantageous.
- A naturally confident communicator who is comfortable speaking to prospective clients and asking for the booking or sale.
- Demonstrable ability to build rapport quickly, understand customer needs and convert enquiries into action.
- Highly organised, responsive and able to manage multiple patient journeys, follow-ups and priorities at the same time.
- Commercially minded, target aware and motivated by delivering excellent service alongside revenue growth.
- Strong written and verbal communication skills, with a polished and professional manner.
- Confident using CRM systems and Microsoft Office applications including Outlook, Word and Excel.
- Discreet and trustworthy when handling confidential patient and business information.
- Self-motivated, resilient and comfortable working in a fast-paced, growing business.
- Comfortable committing to a full-time, office-based role in Henley-on-Thames with some Saturday working required.
This role is central to both the patient experience and the commercial growth of Healthium Clinics. The successful candidate will combine outstanding service with the confidence and discipline to turn interest into bookings, bookings into treatments and patients into long-term advocates.
