At The Doctor's Clinic, we believe visiting your GP should feel calm, welcoming, and genuinely personal.
We're building a modern private medical practice that combines outstanding clinical care with exceptional service. Our patients choose us because they value time, continuity, expertise, and an experience that feels more like a luxury hotel than a traditional waiting room.
We're looking for an exceptional Patient Experience Coordinator to become the face of our clinic. This isn't a traditional receptionist role.
You'll be responsible for creating an outstanding patient experience from the moment someone contacts us, while also helping us grow through social media, patient engagement, and marketing initiatives.

Role Description
You'll work directly with our doctors and leadership team to ensure every patient interaction reflects our premium standards.
No two days are the same.
One moment you'll be welcoming patients into our beautiful clinic, the next you'll be filming an Instagram Reel with one of our doctors or helping organize a patient education event.
You'll become one of the most important members of our team.
What You'll Do
Deliver an exceptional patient experience
- Welcome patients warmly and professionally
- Ensure every patient feels valued and cared for
- Prepare refreshments and maintain an immaculate reception area
- Coordinate smooth patient flow throughout the day
- Manage incoming telephone calls and enquiries
- Respond promptly to emails and online enquiries
- Book, amend, and optimize clinician appointments
- Process payments and issue invoices
- Support patients with membership enquiries and health screening packages

Practice administration
- Coordinate clinician diaries
- Prepare consultation rooms
- Manage incoming correspondence
- Scan and upload documents
- Liaise with laboratories and external providers
- Monitor stock levels and order supplies
- Support compliance with CQC, GDPR, and clinic policies
- Assist with quality improvement projects where appropriate
Social media & marketing
This role includes dedicated time each week to support the growth of the practice.
Responsibilities include:
- Film and photograph clinicians for Instagram, Facebook, LinkedIn, and TikTok
- Capture high-quality behind-the-scenes content
- Schedule approved social media posts
- Help manage our content calendar
- Monitor comments and messages
- Encourage satisfied patients to leave Google reviews (in line with practice policy)
- Assist with email newsletters and patient communications
- Help organize patient events and educational evenings
- Maintain marketing materials throughout the clinic
- Work with external marketing agencies where required
- Bring fresh ideas to help grow the practice
About You
We're far more interested in attitude than healthcare experience.
You'll probably have experience in one of the following:
- Private healthcare
- Luxury hospitality
- Boutique fitness
- High-end retail
- Concierge services
- Aviation
- Customer service
- Patient coordination
