Patient Liaison & Clinic Coordinator – Private Neuroscience Clinic

Location: Remote / Home-based, with occasional London clinic requirements where necessary

Hours: Part-time

Pay: £13–£15 per hour, depending on experience

About The rTMS Centre

The rTMS Centre is a specialist private neuroscience clinic based in Marylebone, London, providing advanced Transcranial Magnetic Stimulation (TMS) and qEEG brain mapping for individuals with mental health and neurological conditions.

We work with patients experiencing conditions including depression, anxiety, OCD, chronic pain and neurological difficulties.

We are looking for a highly organised, professional and compassionate Patient Liaison & Clinic Coordinator to become a key point of contact for our patients and support the smooth day-to-day running of the clinic.

The Role

This is not a traditional reception or general administration role.

You will be responsible for supporting prospective and existing patients throughout their journey with the clinic — from their initial enquiry through to consultation, assessment, treatment and follow-up.

The role requires someone who can combine excellent communication and patient care with strong organisation, accountability and attention to detail.

You will work closely with the clinic's Neuroscientist and will play an important role in creating a professional, reassuring and efficient experience for every patient.

Key Responsibilities

  • Responding professionally and sensitively to new patient enquiries by telephone, email and messaging
  • Speaking with prospective patients and helping them understand the clinic's assessment and treatment process
  • Following up enquiries and ensuring prospective patients do not become lost during the booking process
  • Coordinating consultations, qEEG assessments and treatment appointments
  • Managing patient information and updating the clinic CRM accurately
  • Monitoring outstanding tasks, follow-ups and patient communications
  • Supporting patients throughout their treatment journey
  • Maintaining clear communication between patients and the Neuroscientist
  • Assisting with invoices, appointment administration and general clinic coordination
  • Identifying situations requiring escalation to the Neuroscientist
  • Helping maintain a consistently high standard of patient experience

The Person We Are Looking For

We are particularly interested in candidates who have previously worked within:

  • Private healthcare
  • Mental health services
  • Psychology or therapy clinics
  • Fertility clinics
  • Physiotherapy or rehabilitation
  • Specialist private clinics
  • Other high-quality patient or client-facing healthcare environments

You should be someone who is naturally organised, dependable and comfortable taking responsibility for your work.

Because many of our patients may be experiencing significant anxiety, depression or other difficulties, excellent emotional awareness and communication skills are essential.

Essential Skills

  • Excellent spoken and written English
  • Confident and professional telephone manner
  • Strong organisational and administrative skills
  • Ability to manage multiple patients, tasks and follow-ups
  • High level of attention to detail
  • Comfortable using CRM systems, email and online booking platforms
  • Ability to work independently from home
  • Reliable and responsive during agreed working hours
  • Comfortable speaking with people who may be anxious or distressed
  • Strong sense of responsibility and professional boundaries

Desirable Experience

Previous experience as a:

  • Patient Liaison
  • Medical Administrator
  • Private Patient Coordinator
  • Healthcare Administrator
  • Patient Services Advisor

Experience within private healthcare is particularly desirable.

What Success Looks Like in This Role

The successful person will make sure that patients feel:

  • Heard, supported and clearly guided through the process.

At the same time, they will ensure that enquiries are followed up properly, appointments are coordinated efficiently, CRM records remain accurate and important tasks are never overlooked.

We are looking for someone who takes ownership of their responsibilities rather than waiting to be reminded of them.

Working Arrangement

This is primarily a home-based, part-time position.

You will work closely with the Neuroscientist and communicate regularly throughout the working week.

As the clinic grows, there may be opportunities for the responsibilities of the role to develop further.

Salary

£13–£15 per hour depending on relevant experience.
