Patient Services Administrator
Oxted | Full-time | 40 hours per week | rotated shift pattern Mon-Sun
Are you a warm, engaging people-person who loves helping others and making sure they receive an exceptional service?
We are recruiting for a fast-growing private healthcare business in Oxted that is looking for several brilliant Patient Services Administrators to join its expanding team.
This isn't a role where you'll spend your day simply processing paperwork. You'll be speaking directly with patients, answering questions, coordinating appointments and making sure people feel supported, reassured and looked after throughout their journey.
For many patients, you'll be one of the first people they speak to, so we're looking for people who are naturally warm, empathetic and engaging, while also being organised and able to get things done.
A background in healthcare would certainly be an advantage, but it isn't essential. We'd equally love to hear from people who have built their careers in customer service, hospitality, professional services, coordination or other client-facing environments and can bring those skills into healthcare.
The Role
You'll be part of a busy Patient Services team, supporting patients across the organisation's growing private healthcare services.
Your responsibilities will include:
- Being a friendly and reassuring first point of contact for patients by telephone and email
- Responding to enquiries and helping patients navigate their care
- Coordinating appointments, follow-ups and patient communications
- Supporting patients throughout their journey, including those using the ADHD assessment service
- Maintaining accurate patient information and records
- Liaising closely with clinicians and the wider clinic team
- Taking ownership of queries and resolving issues wherever possible
- Escalating more complex or sensitive matters appropriately
- Using booking, CRM and digital systems to manage patient information
- Helping to identify ways of making the patient experience even better
- Maintaining the highest standards of confidentiality and professionalism

The role involves supporting patients from their first enquiry through to appointments and ongoing follow-up, so excellent communication and attention to detail are important.
About You
We're much more interested in who you are and how you deal with people than whether you've followed a traditional healthcare career path.
You'll ideally be someone who is:
- Naturally warm, friendly and engaging
- Confident speaking with people over the phone
- Empathetic and able to put people at ease
- An excellent communicator, both verbally and in writing
- Highly organised with great attention to detail
- Comfortable juggling several things at once
- Proactive and happy taking ownership rather than waiting to be told what to do
- Confident using technology and learning new systems
- Calm and professional when dealing with sensitive situations
- A genuine team player who enjoys working with others
Previous experience in healthcare, customer service, hospitality, professional services, administration or another people-focused environment would be very welcome. Healthcare experience is desirable, not essential.

Working Hours
This is a full-time, office-based role in Oxted, working 40 hours per week on a rotational shift pattern.
The service operates:
- Monday–Friday: 7:00am–8:30pm
- Early shift: 7:00am–4:00pm
- Late shift: 11:30am–8:30pm
- Saturday & Sunday: 8:30am–5:30pm
The rota includes a mixture of weekday, early, late and weekend shifts, but evenings and weekends are shared fairly across the team – you won't be expected to work every evening or every weekend.
