About the role

We're looking for a detail-driven Pay and Bill Officer to run our weekly contractor pay and bill cycle across multiple territories and currencies. You'll make sure contractors are paid correctly and on time, clients are invoiced accurately, and our ledgers stay clean. You'll work closely with the Credit and Billings Manager, who directs your day-to-day activity, and the Finance Manager, who owns your line management, goals and performance.

You'll also build relationships with key partners including Sonovate, umbrella companies, our timesheet portal provider, and our external Swiss payroll contact.

What you'll be doing

Transactional accounting

  • Perform weekly bank reconciliations every Monday across all trading accounts, matching debtor and contractor balances on the debtor ledger
  • Produce the missing timesheet report each Monday
  • Match receipts and funding drawdowns correctly against the Sonovate balance sheet account

Weekly and monthly contractor cycle

  • Convert weekly approved timesheets into sales invoices and self-bills for Ireland, Switzerland, Germany and umbrella companies
  • Export sales invoices and self-bills to NetSuite via CSV upload for the correct entity
  • Upload sales invoices to Sonovate for funding
  • Generate contractor payments from NetSuite to clear the bank each Friday, running one pay cycle per currency

Swiss labour lease

  • Convert approved timesheets into sales invoices and upload them to Sonovate for funding
  • Download timesheet data and send it to our external Swiss payroll contact
  • Process the payroll payment and upload the resulting payroll journal to NetSuite
  • Download and upload sales invoice data to NetSuite via CSV

Contractor care

  • Resolve contractor payment queries across Sonovate and non-Sonovate arrangements
  • Update contractor bank details on NetSuite based on evidence provided
  • Troubleshoot Sonovate portal issues that are holding up contractor payments
  • Liaise with umbrella companies on payment issues and urgent payment support

Perm invoicing

  • Issue draft and final perm invoices based on the weekly perm starters report
  • Ensure customers are set up correctly in NetSuite
