Payment Administrator
We are currently looking for a Payment Administrator to join our friendly Sunbelt team. Primarily working on the hire desk, you will be tasked with supporting the rental desk operation by providing an effective and efficient office administration service that complies with company policies.
You will be responsible for ensuring accurate and timely preparation, submission, and tracking of Applications for Payment, supporting cash flow through effective record management and compliance with contractual and customer requirements. Working closely with operational, commercial, and finance teams, the role helps ensure all applications are submitted correctly and within agreed deadlines.
Key Duties Will Include
- Prepare and submit Applications for Payment in line with contract requirements.
- Gather and check supporting documentation to ensure accurate and timely submissions.
- Track application status, resolve queries, and follow up on outstanding payments.
- Maintain accurate customer, contract, and payment records.
- Produce regular reports on submitted, approved, and outstanding applications.
- Work closely with operational, commercial, finance teams, and customers to obtain required information.
- Ensure compliance with contractual requirements, company procedures, and data protection standards.
- Identify and escalate discrepancies and support process improvements.

What you will need to bring to the role from day one to the Administrator role:
Essential
- Previous experience preparing Applications for Payment, invoices, or commercial documentation.
- Strong administrative and organisational skills.
- Excellent attention to detail and accuracy.
- Good understanding of financial processes and contractual documentation.
- Proficiency in Microsoft Excel, Outlook, and other Microsoft Office applications.
- Ability to manage multiple deadlines and priorities.

Desirable
- Experience within construction, utilities, telecoms, engineering, or infrastructure sectors.
- Knowledge of NEC, JCT, or other commercial contracts.
- Experience using commercial, finance, or ERP systems.
