Location: London (UK)
Salary: £40,000 to £45,000 plus benefits, depending on experience
Reports to: Head of Payments
Working pattern: Office-based during probation, moving to hybrid after successful completion

Vibanx (Canada) Ltd is a FINTRAC-registered Money Services Business (MSB) providing international payment solutions to corporate clients through a network of regulated payment partners.
We're a growing business with a lean, collaborative team where everyone has the opportunity to make a genuine impact. As we continue to grow, we're looking for an experienced Payments Operations Analyst to join our Payments team and help build a robust, scalable payments function.
The role
This is a hands-on role in a developing fintech environment where payment processes, systems and procedures are still evolving. You'll support the Head of Payments with the day-to-day management and control of client payments, investigations, reconciliations and relationships with our payment technology and Nostro providers.
It's more than processing payments. We need someone who thinks independently, spots when something doesn't look right, investigates thoroughly and understands the operational and client impact of errors. You'll also help improve processes, maintain procedures and close control gaps as the function grows.
Key responsibilities
Payment operations and controls
- Review, check and process incoming and outgoing client payments across multiple currencies and payment rails.
- Perform payment authorisation and dual-control checks in line with internal procedures.
- Check payment instructions, beneficiary details, supporting documents and routing for accuracy, and catch anomalies before release.
- Monitor payment queues and investigate pending, rejected, returned or failed payments.
- Complete daily checklists and end-of-day controls, making sure outstanding items and exceptions are actioned or handed over.
- Escalate material issues while taking ownership through to resolution.

Investigations and problem solving
- Investigate missing, delayed, rejected and returned payments with internal teams and external providers.
- Liaise with Nostro and payment providers on traces, recalls, returns, routing queries, fees and service issues.
- Work with our core banking and payment technology provider on system, configuration and processing issues.
- Identify root causes and recurring problems, and recommend preventative controls.
- Maintain investigation and query logs, keeping statuses current and providers followed up.
Reconciliations and client funds
- Perform daily reconciliation of client funds, payment transactions, internal ledger activity and Nostro balances.
- Work with our reconciliation provider on exceptions, matching rules and configuration changes.
- Investigate and resolve unmatched transactions, discrepancies, duplicates and missing fees, escalating material breaks.
- Support stronger reconciliation controls as volumes and provider relationships grow.
Procedures and continuous improvement
- Maintain and update procedures and operational guidance as processes change.
- Log and track system and process errors, and identify where controls need strengthening.
- Support UAT and new projects, including new systems, providers and functionality.
- Monitor payment cut-offs and SLAs, escalating delays or exceptions.
- Maintain records and evidence for audits and regulatory reviews, and support Payments MI and reporting.
You'll work across our payment platform, ledger and payment hub, reconciliation platform, Nostro and payment providers, and our internal Compliance, Finance, Client Services and Technology teams.
About you
Essential
- 3+ years' experience in payments, banking, fintech, treasury or financial operations.
- Strong understanding of global payment rails and standards (SWIFT, ISO 20022, ACH, SEPA, Faster Payments) and routing requirements (BIC, IBAN, ABA, sort codes).
- Practical experience processing, reviewing and investigating payments, including failed, returned, rejected, delayed or missing transactions.
- Experience performing transaction or account reconciliations.
- Understanding of payment controls, authorisation processes and operational risk.
- Knowledge of relevant regulatory frameworks, including PSRs/PSD2, FCA and FINTRAC, and associated record-keeping and audit trail requirements.
- Experience supporting internal or external audits, regulatory reviews or compliance requests.
- Strong analytical and problem-solving skills, with good Excel and data analysis ability.
- Excellent attention to detail and organisational skills.
- Calm and organised under competing priorities, confident challenging and escalating where needed.

Desirable
- Experience working with multiple payment providers, banks or Nostro relationships.
- Experience with multi-currency payments and FX in a regulated payment, EMI, MSB or fintech environment.
- Experience with reconciliation and core banking or payment platforms.
- Experience supporting UAT, system implementation or operational change.
What success looks like
You'll become a trusted second pair of eyes for the Head of Payments and gradually take ownership of significant areas of the day-to-day payments operation, helping the function become more robust and scalable as we grow.
